Dans ce rôle, vous devrez 

  • Avoir des compétences en gestion et organisation d’agenda Outlook d’un conseiller (gestion des courriels et du calendrier), dans la planification de rencontres avec les clients et leur priorisation. 

  • Identifier et mettre en œuvre des processus visant à améliorer le flux de travail, l'organisation et la communication. 

  • Répondre aux appels téléphoniques et aux courriels au nom du conseiller, en transmettant les messages urgents dans les meilleurs délais. 

  • Préparer les comptes de dépenses et examiner les rapports soumis, le cas échéant. 

  • Rencontrer le conseiller quotidiennement pour discuter des événements à venir, des réunions et de la logistique. 

  • Planifier les déplacements et les réunions. 

  • Rédiger et distribuer des courriels, des notes de services, des lettres et des formulaires. 

  • Toutes autres tâches requises, selon les besoins. 

Ce que vous apportez : 

  • Années d'expérience pertinentes requises pour occuper ce poste : 1 à 3 ans d’expérience. 

  • Expérience en service dans l’industrie de l’immobilier commercial : de préférence. 

  • Une maîtrise avancée des applications Microsoft Office, y compris MS Word, Excel et PowerPoint. 

  • Capacité à communiquer de manière claire et concise, tant à l'oral qu'à l'écrit, en français et en anglais 

  • Capacité à fournir un excellent service à la clientèle à tous les niveaux de l'organisation et avec les partenaires externes. 

  • La connaissance de la terminologie de l'immobilier est un atout.

In this role, you will..

  • Responsible for managing and organizing the Advisor’s Outlook (email & Calendar), monitoring emails, booking calls with clients, understanding priorities.

  • Identify and implement processes to improve workflow, organization, and communication. 

  • Answer phone calls and reply to emails on behalf of the Advisor, forwarding any urgent messages in a timely manner.

  • Prepare expense reports and review submitted reports when required.

  • Meet with Advisor daily to discuss upcoming events, meetings, and logistics. 

  • Planning for travel and meetings

  • Write & distribute email correspondence, memos, letters, and forms.

  • Other duties as required.

What you bring

  • Relevant years of experience required to perform the role: 1 to 3 years of experience

  • CRE experience / background to perform the role: Preferred

  • Advanced skills in Microsoft Office applications (MS Word, Excel, and PowerPoint).

  • Ability to communicate clearly and concisely both verbal and written, in French and English

  • Ability to deliver excellent customer service at all levels of the organization and with external partners. 

  • Knowledge of real estate terminology an asset.
