JOB DESCRIPTION
Summary/ Objective
East Side House (ESH) is a community resource in the Bronx and Northern Manhattan. ESH’s Compass Elementary Program aligns with our mission by providing high quality programs and services within community centers and school partnerships.
Reporting to the Program Director, the Program Assistant is responsible to maintain a safe and educational learning environment for young children by successfully implementing the program curriculum and daily program activities. The Program Assistant will provide assistance with office and program support functions. As a member of the Compass Elementary Team, the Program Assistant is expected to oversee/lead student activities, supervising snack, and outdoor play, assisting students with day-to-day needs, maintaining a clean environment, and co-facilitating staff meetings created by the Program Director. This position’s direct reports include the Youth Educators and interacts with Human Resources, Fianance, IT and other relevant East Side House Departments.
Essential Functions and Responsibilities
Under the supervision of the Program Director, the Program Assistant, will be responsible for but not limited to the following:
- Assist in the planning coordination, and implementation of COMPASS Program
- Work in tandem with Education Specialist to review and update curriculum, educational objectives, and program design as necessary
- Prepare and submit reports to program leadership; work with parents, DOE teachers and community providers to ensure a collaborative and supportive team environment
- Develop and maintain professional working relationships through effective and timely communication with the Program Director, other program personnel, and other building staff members, such as the principal, custodians, teachers, and food service personnel.
- Assist with recruitment, hire, train, evaluate, and supervise all COMPASS part-time staff
- Assist with Annual Evaluation of Staff per ESH evaluation policy procedures and timeframe
- Oversee coordination of programs schedules, calendar, and vacation coverage
- Oversee development and implementation of daily programming review lessons plans
- Coordinate regular communication with COMPASS families including newsletters, flyers, events, parent teacher’s night, phone outreach, etc.
- Conduct parent and parent/child conferences as necessary
- Develop and support COMPASS staff in the coordination of special events
- Adhere to policies and procedures in a proactive manner, making the safety and care of children your primary focus.
- Ensure effective administrative systems are in place to support COMPASS classrooms, and other programming areas are clean and well-maintained
- Effectively monitor and guide proper student behavior on a continuous basis.
- Support the emotional and social development of students through use of primary person model
- Maintain accurate and organized records such as attendance records, snack records, time sheets, incident reports, and all other paperwork as instructed by the Program Director to ensure program compliance and quality operations.
- Monitor transitions to cafeteria and ensure upkeep of space.
- Oversee compliance with ESH, DYCD, DOE, and DOH standards
- Attend Agency and DOE wide events (Department meeting, school safety, CBO)
- Co-facilitate staff meetings and support with development of agenda items
- Manage supply inventory and submit purchase requests as needed to the Program Director for approval
- Continue professional development by attending department meetings and trainings as required and as appointed by the Program Director.

- Performs special projects and/or other duties as needed
- Conduct daily, weekly, and monthly observations and site walkthroughs

Education / Experience
• Minimum High School Diploma, one-year administrative experience
• Knowledgeable of youth development principles and practices and two years of experience working with Elementary youth or equivalent experience
• Enjoy being with students and foster their academic, social, emotional, and physical development through the duties outlined above.
• Able to work in team settings and with diverse individuals.
• Able to work in a fast-paced environment.
• Strong critical thinking skills.
• Excellent organizational, verbal, written and communications skills.
• Ability to work with culturally diversified individuals.
• Computer literate.
• Bilingual is a plus

Clearance
Employees must be clear to work at ESH. Employment is contingent upon successful completion of background checks and/or screenings.
Supervisory Responsibility
This position is responsible for supervising and managing the performance of all designated employees assigned to the position within the department.
Physical Demands
This role may involve occasional lifting or moving of items up to 25 pounds and routine use of standard office equipment. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.
Expected Work Schedule
The work schedule expected for this position is: Monday through Friday from 10:00a to 6:00p, as aligned to the needs of the program/ service. The schedule may be adjusted based on ESH’s operational needs, with notice provided whenever possible.
