About the Role

The Assistant Community Manager supports the General Manager in overseeing the daily operations of the property, with a primary focus on financial administration, resident relations, and operational support. This role manages day-to-day financial transactions, including collecting and posting rent, fees, and other payments, preparing daily bank deposits, generating financial reports through property management systems, and partnering with the accounting team to reconcile discrepancies. The Assistant Community Manager also helps ensure residents adhere to the terms of their lease agreements while contributing to a positive resident experience and the overall performance of the community. This role reports directly to the General Manager.

Responsibilities

    Leasing & Sales
  • Support the property’s leasing and occupancy goals by delivering an exceptional prospect experience from first inquiry through move-in.
  • Conduct property tours, qualify prospective residents, present available apartment homes, and guide prospects through the leasing process.
  • Process lease applications, renewals, move-ins, and move-outs while ensuring accuracy and compliance with company standards.
  • Partner with the marketing and operations teams to maximize occupancy, revenue, and resident retention.
  • Build meaningful relationships with prospective residents while confidently asking for the lease and closing opportunities.
  • Resident Experience
  • Support and help coordinate the day-to-day operations of Flow’s Resident Experience Team.
  • Deliver an elevated resident experience by responding to resident inquiries, concerns, and service requests in a timely, professional, and solution-oriented manner.
  • Assist in planning and supporting community events and resident engagement initiatives that foster a strong sense of community.
  • Promote resident satisfaction and retention by proactively resolving concerns and ensuring consistent communication throughout the resident lifecycle.
  • Enforce community policies and lease terms fairly and consistently while maintaining a hospitality-first approach.
  • Support the Community Manager with resident lease compliance, including collections, notices, and eviction processes in accordance with company policies and applicable laws.
  • Financial Administration
  • Collect and accurately process rent payments, security deposits, fees, and other resident transactions.
  • Monitor delinquent accounts, communicate with residents regarding outstanding balances, and partner with the Community Manager on collection efforts.
  • Prepare daily, weekly, and monthly financial reports while maintaining accurate resident and financial records.
  • Review invoices for accuracy and submit approved expenses to the Accounting team for processing.
  • Ensure resident accounts are maintained accurately and support revenue optimization through timely administration of lease charges and collections.
  • Property Operations
  • Partner with the Community Manager and Maintenance team to ensure service requests are completed promptly and residents receive exceptional service.
  • Conduct routine property inspections to maintain community appearance, safety, and operational standards.
  • Coordinate with vendors and contractors to support the day-to-day operation of the community.
  • Serve as the on-site operational lead in the absence of the Community Manager by coordinating daily priorities, supporting team operations, and ensuring compliance with company policies and procedures.
  • Support the day-to-day operation of Flow’s furnished and short-term rental offerings, where applicable.
  • Compliance & Administration
  • Maintain accurate resident records, lease documentation, and property files in accordance with company policies.
  • Support budgeting efforts by monitoring expenses and identifying opportunities to improve operational efficiency.
  • Ensure compliance with Fair Housing regulations and all applicable federal, state, and local laws.
  • Process resident move-outs, security deposit dispositions, and lease terminations in accordance with company procedures and legal requirements.

Ideal Background:

  • Bachelor's Degree or equivalent experience preferred
  • Minimum of 1-2 years of experience in property management, leasing, or customer service.
  • Experience in Class A high-rise multifamily residential required
  • Management and/or leasing experience preferred
  • Experience with sales, marketing, and financial data required
  • Proficient in computer software including but not limited to G-Suite and Microsoft Office (Excel, Word) required
  • Experience with Yardi, Payscan, Rent Cafe, Commercial Cafe, and Bluemoon preferred
  • Strong customer service, problem solving, and interpersonal skills required
  • Strong organizational skills and attention to detail requiredKnowledge of rental contracts and property and anti-discrimination laws preferred
  • Ability to work in a fast-paced environment and manage multiple priorities.
  • Understanding of Fair Housing regulations and compliance.
  • Experience in multi-family housing or residential property management.
