Job Description:
The Assistant Accounting Coordinator follows a variety of established industry and company guidelines, concepts, best practices and procedures to determine and execute the most effective and efficient method to support commercial real estate transaction closings. Old Republic Title – National Commercial Services (NCS) office transactions characteristically include multiple parties, sites and locations, and involve complex underwriting requirements.
The Assistant Accounting Coordinator position is responsible for confidential and time sensitive material associated with national transaction matters and relies on experience and judgment to plan and accomplish assignments. The position is responsible for ensuring that assigned activities are fully completed in an accurate, timely, and legally compliant manner.
*Candidate must be a commutable distance to Hoboken, NJ.
Daily responsibilities may include:
- Support the team by providing assistance in the closing process including by inputting accounting data into Ramquest or other designated software, coding entries, ensuring that data mirrors the actual transactions per bank records, and other related tasks.
- Access bank accounts electronically to check balances and status of transactions, confirm deposits, set-up wires, set-up and print checks as necessary, provide outgoing wire confirmations.
- Confirm payment instructions for payables, including verifying wire instructions. Follow Company best practice instructions as to verification of wire instructions. Secure necessary approvals for “jumbo” and international wires.
- Assist with both accounts payable and receivable processes.
- Review and comply with Closing Instructions from Lenders, Purchasers, Sellers or other parties to the transaction.
- Coordinate with Recording as to amounts for taxes and recording fees necessary to record closing documents.
- Communicate with internal parties to the transaction as to receipt of funds, seek authorization from parties to break escrow, close and disburse. Once the transaction is closed, advise internal parties that the transaction is closed and provide wire confirmations and/or copies of checks as appropriate to the transaction.
- Conduct post-closing review of file to ensure that all disbursements have been made including that any checks have been sent to the correct party and address.
- Assist with daily and monthly reconciliation reports and coordinating compliance standards with corporate accounting department.
- Ensure the accuracy, consistency, completeness and operating compliance of work products prepared for assigned projects.

- Note: Regardless of assigned location and work station, all employees will be issued a company laptop and will be expected to be able to work remotely on the occasion that it is not possible to safely be present in the office.
- This position is eligible for up to 2 days per week hybrid work scenario at the sole discretion of the Manager and Supervisor, following on-boarding and training.
- Must be personable, positive and a professional representative of the Company.
- Ability to interact effectively and professionally with all levels of management, employees and customers by Microsoft Outlook email, phone, Microsoft Teams chat and video calls, and in person.
- Participate in Continuing Education opportunities offered by / assigned by ORT Corporate.
Skills required to be successful:
- Minimum 5 years of accounting / book-keeping experience required. Experience in a title, legal or real estate field a plus.
- Excellent mathematic, verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Impeccable attention to detail and organizational skills.
- Proficient in a variety of computer software systems, such as Microsoft Office, especially Excel. Willingness and ability to learn and utilize new software systems.

Position's Pay Range:
