Introduction
The mission of Vendor Operations Services department Asia is to ensure prompt and accurate payment of liabilities to vendors and work closely with procurement and receiving to ensure positive supplier interactions.
As an Asia Payment Specialist, you will play a key role in executing and driving cross-functional collaboration among procurement, finance, and operations teams throughout the procure-to-pay process. Your responsibilities will include executing transactions, resolving issues efficiently, and addressing customer requests to ensure seamless and effective payment operations.
Job Purpose
To execute and manage payment operations across multiple entities in Asia, ensuring accuracy, timeliness, and compliance with internal controls and local regulations. This role supports the integration and centralization of payment operations, including the transition of Cymer AP responsibilities into the ASML Vendor Operations Asia team.
Key Responsibilities
Payment Execution & Operations
- Process payments using SAP (ASML ERP) and Oracle (Cymer ERP) systems.
- Ensure timely and accurate execution of payments via Citi (H2H connection) and local banks for tax and country-specific transactions.
- Operate within ServiceNow for manual or exceptional payment requests.
- Respond promptly to diverse and frequent payment requests, maintaining high accuracy and compliance.
- Handle payment request entry, 3-way matching, and payment processing as needed.
Communication & Coordination
- Communicate effectively in English for internal coordination; support local language interactions (Korean, Chinese, Japanese) with suppliers and banks.
- Collaborate with internal stakeholders across Treasury, Procurement, IT and Treasury teams.
- Manage supplier communications, including resolving invoice discrepancies and handling complex cases via ServiceNow tickets and phone calls.
Compliance & Controls
- Review adherence to internal policies and ensure compliance with external regulatory and legal requirements related to payment processes.
- Support and guide team members in accounting and SOX compliance.
Continuous Improvement
- Lead and support initiatives to enhance the efficiency, accuracy, and transparency of payment operations.
- Participate in process redesign, improvement, documentation, and training projects.
- Leverage IT tools and platforms to optimize workflows and support automation.
Analysis & Reporting
- Assist the Regional Vendor Operations Manager on special projects and analysis.
Qualifications & Skills
- Bachelor’s degree in Finance, Accounting, Business, or related field (Master’s degree or professional finance certification is a plus).
- Banking or payment function of 1- 2 years of experience or accounts payable preferred
- Familiarity with SAP and/or Oracle ERP systems & Asia Banking Systems
- Strong IT literacy and adaptability to new tools and platforms (MS Word, Excel, PowerPoint, Teams; OneNote, To Do, Planner, and Miro a plus).
- Multilingual communication skills (English required; Korean, Chinese, or Japanese is a plus).
- Detail-oriented, responsive, and proactive in a dynamic environment.
- Excellent customer service skills and advanced understanding of vendor relationship building.
- Strong collaboration and stakeholder management skills.
- Ability to work independently and as part of a team.
- Lean mindset and continuous process optimization encouraged.
Additional Notes
This role is part of a strategic transition to centralize AP operations under Vendor Operations Asia. The candidate will play a key role in supporting this integration and ensuring seamless payment execution across multiple entities and systems.
Other Information
Employment contract period: Total 12 months (can be extended up to 3 months based on situation.)
Location: Dongtan, South Korea (Company shuttle buses are available from Seoul and other key locations to support your commute.)
