Title: AP Specialist 
Direct Manager Title: Accounts Payable Manager

The Role 

The AP Specialist is responsible for managing the entire vendor payment process.  This role will ensure timely and accurate processing of vendor invoices and payments in accordance with the company policies and procedures.  The ideal candidate has strong attention to detail, organizational skills, tech-savvy and comfortable working in a fast-paced environment.  Additional responsibilities include assisting with projects as needed.  This position reports directly to the AP Manager.

What You’ll Do

  • Download PDF invoices from AP email inbox and vendor portals to be saved in appropriate folders.
  • Review, verify and obtain digital approvals for invoices and ensure proper documentation
  • Process invoices accurately and efficiently in the accounting system
  • Maintain vendor records, including W9 forms, payment type and contact information
  • Prepare weekly check runs that include ACH, Wire, credit card and checks
  • Respond to vendor inquiries and resolve payment issues promptly
  • Manage Accounts Payable aging to ensure vendor invoices are paid timely
  • Follow up on outstanding checks
  • Maintain monthly AP reports
  • Assist with daily cashbook reconciliation
  • Assist with audits and provide supporting documentation as needed
  • 1099 reporting

Ideal Qualifications

  • Associate’s degree in Accounting or 2+ years AP experience
  • Strong Excel skills and familiarity with collaborative tools (e.g. Slack, Zoom, Outlook)
  • Prior Accounts Payable or accounting experience with an advertising/marketing agency a plus

Nice to Have

  • Maintain a strong attention to detail and organizational skills within a fast-paced environment
  • Strong communication skills, both written and verbal; and ability to work effectively across time zones
  • Must be results oriented with the ability to balance multiple projects and meet deadlines
  • Is self-motivated and has the ability to function independently
  • Knowledge of 1099 reporting and basic tax compliance
  • Experience with NetSuite and Workamajig advertising agency accounting software a plus
