WE’RE HIRING AN AP & PAYROLL COORDINATOR, BASED IN DC!

The Accounts Payable & Payroll Coordinator helps keep Call Your Mother’s daily financial operations running smoothly. This hourly role supports accounts payable, billing, accounts receivable, and payroll by processing transactions, maintaining accurate records in our accounting system, and following up with vendors and shop teams.

You’re organized, detail-oriented, and ready to track down missing information, keep things moving, and bring strong follow-through and good vibes to a growing team.

YOU'LL CRUSH THIS ROLE IF YOU...
  • Are highly organized and sweat the details, keeping records accurate and tasks on track.
  • Can juggle multiple deadlines and follow up to make sure nothing slips through the cracks.
  • Communicate clearly and confidently with vendors, shop teams, and coworkers.
  • Are comfortable working with invoices, spreadsheets, and financial information.
  • Lead with integrity and handle payroll and employee information with care and confidentiality.
  • Have experience with Restaurant365, ADP, Toast, or similar systems—a plus, but not required.
  • Bring experience in accounts payable, billing, payroll, bookkeeping, or administrative support—preferred, but not required.

WHAT YOU’LL REALLY BE DOING
  • Manage the billing inbox, respond to vendor questions, and flag complex issues for support.
  • Review and enter invoices into Restaurant365, checking vendor details, locations, amounts, coding, and supporting documents for accuracy.
  • Route invoices for approval and follow up on missing invoices, approvals, credits, and vendor statements to keep payments moving.
  • Maintain organized vendor, utility, invoice, and payment records, and help process donation payments and employee advances.
  • Keep Restaurant365 menu items linked to the correct recipes and sales records, maintain vendor and item details, and flag discrepancies.
  • Prepare house account voucher invoices with supporting documents, follow up on unpaid balances, and record and reconcile payments.
  • Review employee hours, work with Shop Managers to resolve missing punches, and confirm payroll corrections are submitted.
  • Help set up employees by collecting required payroll information and keeping documentation accurate and organized.
  • Send post-payroll confirmations, track payroll deliveries to each shop, and follow up on outstanding items or discrepancies.

PHYSICAL REQUIREMENTS

The physical demands for this position include seeing, hearing, speaking, reading, and communicating effectively; standing, walking, reaching, bending, and performing repetitive physical movements; lifting up to 50 pounds; and safely operating equipment and tools using manual dexterity. This role also requires working in a fast-paced environment around hot equipment, sharp tools, and varying temperatures, and occasionally working in confined spaces. These physical requirements may be accomplished with or without reasonable accommodation.
