HR Systems & Onboarding Operations
Upload and meticulously verify new hires' mandatory documents and personal information within the central Human Resources Information System (myHR).
Advance approved candidates to the "Ready for Hire" stage within the applicant tracking workflows to trigger subsequent onboarding actions.
Execute employment contract extensions accurately and efficiently through the myHR platform.
Facilitate local identification creation for new employees to ensure timely and secure access to organizational systems.
Administer the hiring workflows and documentation required to successfully transition temporary staff into permanent positions.
Process candidate registration procedures securely within designated operational systems.
Candidate Experience & Logistics
Manage expense reimbursements for candidates by collecting and verifying required documentation via email, and raising internal service requests (e.g., ServiceNow tickets) to finalize payments.
Coordinate the global deployment of new hire welcome kits by confirming orders, maintaining proactive communication with merchandise vendors, and requesting the necessary purchase orders or purchase requisitions.
Compliance & Background Screening
Initiate pre-employment background and medical clearance requests for incoming employees across applicable regional markets.
Perform Partner with HR and TA to ensure dedicated compliance reviews (KD Prevent checks) and oversee associated certification procedures to consistently uphold internal regulatory standards.
Vendor Management & Financial Administration
Establish new vendor profiles and process the renewal of existing vendors within the corporate approved supplier directory.
Process recruitment-related invoices using designated regional financial and procurement platforms (including COUPA, EPIC, SAP, and CTS) in strict accordance with entity-specific corporate guidelines.
Education & Experience: Bachelor’s degree in Human Resources, Business Administration, or a related discipline, paired with 1 to 3 years of professional experience in HR administration, talent acquisition coordination, or within a shared business services environment.
Technical Skills: Solid proficiency utilizing Applicant Tracking Systems (ATS) and Human Resources Information Systems (HRIS, such as myHR). Familiarity with service ticketing platforms (e.g., ServiceNow) and financial/procurement software (e.g., COUPA, SAP, EPIC) is highly desirable. Strong working knowledge of the Microsoft Office suite.
Soft Skills: Exceptional organizational capabilities with a meticulous eye for detail. Strong cross-cultural communication skills, a proactive and customer-centric mindset, and the ability to manage multiple priorities effectively in a fast-paced, matrixed global environment.
Language Requirements: To effectively support our diverse regional operations from the Malaysia-based business service center, candidates must possess the following language proficiencies:
