What Will I be Doing?

The Project Analyst supports the Project Management team by monitoring, tracking, and reporting on HOA reserve studies and capital expenditure (CapEx) projects. This role assists Project Managers with project planning, schedule management, budget tracking, risk monitoring, status reporting, and resource coordination. The Project Analyst helps maintain project standards, improve processes, and provides insights that enable informed decision-making across multiple projects.  

Responsibilities

Reserve Study Tracking

  • Review HOA reserve study data, including asset inventories and funding plans
  • Track remaining useful life (RUL) and scheduled replacement timelines
  • Ensure reserve study updates align with actual project execution

CapEx Tracking & Reporting

  • Assist Project Managers in securing funding for project.
  • Monitor capital expenditure projects against approved budgets and schedules
  • Track actual vs. planned spend and identify variances
  • Maintain detailed records of CapEx activity across properties

Financial & Resource Management

  • Track project budgets, forecasts, invoices, and expenditures.
  • Assist in analyzing project financial performance and variances.
  • Support resource planning and allocation activities.
  • Maintain project financial records and reporting documentation.
  • Partner with cross-functional teams including, but not limited to, Sales and Marketing, Resort Operations, Legal and Finance to track performance results.

Project Coordination Support

  • Collaborate with project managers, vendors, and property teams to validate project progress
  • Ensure alignment between reserve study plans and actual execution
  • Assist in tracking approvals, contracts, and project milestones
  • Performs other duties as assigned

Qualifications

To fulfill this role successfully, you must possess the following minimum qualifications and experience: 

  • Bachelor’s degree in Business Administration, Construction Project Management, Finance, or a related field.
  • 2–5 years of experience in project coordination, project analysis, PMO support, or related roles.
  • Experience supporting multiple projects simultaneously
  • Proficiency in Oracle Financial System, Microsoft Project, Excel, PowerPoint, and Teams.
  • Strong reporting and data analysis skills
It would be advantageous in this position for you to demonstrate the following capabilities and distinctions: 
  • Experience with HOA reserve studies or community association management
  • Familiarity with CapEx lifecycle planning and asset management
