Position OverviewThe Allocation Specialist is a key operational role responsible for ensuring inventory is positioned correctly across Maxwood’s fulfillment network to meet customer demand efficiently and cost-effectively.
This role manages the day-to-day execution of inventory transfers, inbound shipment coordination, and open-box inventory disposition while partnering closely with warehouse, operations, planning, and finance teams to ensure inventory is flowing, accurately tracked, and properly recorded across all fulfillment destinations.
Key Performance MeasurementsSuccess in this role is measured by the ability to:
Maintain accurate inventory positioning across all fulfillment locations while minimizing instances where customer demand goes unmet due to inventory placement.
Execute timely and accurate inventory transfers that reduce backorder exposure and balance supply throughout the fulfillment network.
Process inbound shipment receipts accurately and on schedule while ensuring all documentation, costs, and notifications are completed in a timely manner.
Maintain accurate duties, taxes, and landed cost data to support financial reporting and inventory valuation.
Manage open-box and returned inventory disposition to maximize recovery value and minimize aged inventory exposure.
Coordinate daily inventory transfers across warehouse and fulfillment locations.
Utilize planning data and backorder queues to determine transfer priorities that balance inventory across the network and minimize customer impact.
Request and schedule carrier pickups and truckloads to facilitate inter-facility transfers.
Coordinate with warehouse teams to ensure accurate loading, documentation, and on-time departures.
Process inbound container receipts and shipment arrivals within ERP and inventory management systems.
Gather, maintain, and file all supporting documentation including packing lists, invoices, duties, taxes, and related shipment records.
Route landed cost information to Finance according to established timelines and procedures.
Ensure inbound shipment data is accurate, complete, and properly recorded.
Maintain duties and taxes cost trackers and ensure all landed cost components remain current and accurate.
Maintain data accuracy across ERP, warehouse management, and inventory planning systems.
Ensure transfer logs, receipt entries, and item records are complete, current, and consistent across all platforms.
Support reporting and visibility related to inventory positioning, transfer activity, and open-box inventory status.
Manage open-box and returned inventory assignments and dispositions.
Record inventory dispositions within order management and inventory systems while ensuring unit counts and recovery values remain accurate.
Investigate and resolve warehouse exception reports.
Partner with Customer Care and warehouse teams to identify root causes, document resolutions, and implement corrective actions.
Proactively identify inventory imbalances, uncovered backorders, and exception items requiring attention.
Support new item setup by ensuring item master data—including dimensions, weights, and vendor information—is entered accurately and completely prior to first receipt.
Assist Planning and Operations teams with inventory visibility and process improvement initiatives.
Demonstrates knowledge of and supports company-wide vision, values, standards, policies, procedures, and confidentiality requirements.
Associate’s degree or higher in Business, Supply Chain, Operations, or a related field; equivalent work experience will be considered.
2–4 years of experience in inventory coordination, logistics, fulfillment operations, or a related role.
Experience within DTC e-commerce, retail distribution, or multi-warehouse fulfillment environments preferred.
Working knowledge of ERP and warehouse management systems.
Experience with inventory planning tools such as StockIQ, Netstock, or similar platforms is a plus.
Strong attention to detail with the ability to process high volumes of transactional data accurately and consistently.
Highly organized and process-oriented with the ability to manage multiple priorities in a structured operational environment.
Strong communication skills with the ability to collaborate effectively across warehouse, operations, planning, and finance teams.
Proficiency in Microsoft Excel, including maintaining trackers, reconciling data, and preparing reports.
Comfortable working in a fast-paced environment where daily execution directly impacts customer experience and financial accuracy.
Demonstrates accountability and a willingness to own problems through resolution.
