Purpose

We are looking for a proactive and tech-savvy AI Integration Intern to support the digital transformation of our administrative operations. The intern will work closely with the Admin Office team to understand day-to-day functions, identify inefficiencies, and implement AI-powered tools and automated workflows that improve productivity, accuracy, and operational efficiency. This role is ideal for someone passionate about AI tools, process optimization, automation, and business operations. Supporting AI-driven projects and technical research. We are open to a shorter engagement for this role depending on the candidate's project scope.

 

Job duties and accountabilities

Primary responsibilities

Key Responsibilities:

  • Study and understand the existing administrative processes, workflows, and operational challenges within the Admin Office.
  • Identify repetitive, manual, and time-consuming tasks that can be automated using AI and digital tools.
  • Design, develop, and implement automated workflows for administrative functions such as:
    • Documentation and reporting
    • Data entry and record management
    • Email drafting and communication workflows
    • Scheduling and meeting coordination
    • Vendor and inventory tracking
    • HR/admin support processes
    • File organization and approval workflows
  • Research and evaluate AI tools, no-code/low-code platforms, and automation software suitable for office operations.
  • Integrate AI solutions with existing systems and software wherever feasible.
  • Create dashboards, trackers, and process-monitoring systems to improve visibility and efficiency.
  • Develop SOPs (Standard Operating Procedures) and user guides for newly implemented automated systems.
  • Train and support administrative staff in adopting AI-enabled tools and workflows.
  • Monitor the effectiveness of implemented solutions and continuously recommend improvements.
  • Ensure data accuracy, confidentiality, and compliance while implementing automation processes.
  • Collaborate with different departments to identify additional opportunities for operational efficiency.
  • Assist in creating internal knowledge bases and AI-assisted documentation systems.
  • Stay updated on emerging AI tools, workplace automation trends, and productivity technologies.

Requirements:

  • Bachelor’s degree in Computer Science/Information Technology/AI/Data Science/or related fields
  • Knowledge of AI tools and workflow automation platforms.
  • Good analytical and problem-solving skills.
  • Ability to understand business processes and translate them into efficient workflows.
  • Strong communication and documentation skills.
  • Proficiency in Microsoft Office and Google Workspace.
  • Ability to multitask and work under tight deadlines.

Preferred Skills:

  • Experience with no-code/low-code automation tools.
  • Basic programming knowledge (Python, JavaScript, APIs, or scripting).
  • Understanding of databases, spreadsheets, and reporting tools.
  • Experience creating dashboards or process maps.
  • Familiarity with workflow management systems.

Compensation
