We are seeking a highly motivated AI Workflow and Automation Specialist VA to support the continuous improvement of business systems, processes, and workflows through the strategic use of AI tools, automation platforms, and digital technologies. This role will focus on identifying process inefficiencies, implementing AI-assisted solutions, building automations, documenting workflows, and helping teams leverage technology to improve productivity and operational performance.
The ideal candidate is analytical, tech-savvy, process-driven, and passionate about applying practical AI solutions across administration, operations, HR, marketing, reporting, and management support functions. The successful candidate will bring a minimum of 4 years of experience working with AI tools, workflow automation, digital systems, and process improvement initiatives, with a proven ability to deliver practical technology solutions that enhance business efficiency and productivity.
As an AI Workflow and Automation Specialist VA
You will act as a key contributor to the business's digital transformation initiatives by evaluating current processes, identifying automation opportunities, and implementing AI-driven improvements. You will work closely with management and operational teams to streamline workflows, reduce manual effort, improve reporting accuracy, and support the responsible adoption of AI technologies throughout the business.
Success in this role requires strong problem-solving skills, a deep understanding of workflow design, the ability to learn and adapt quickly, and confidence working with automation tools, AI platforms, and business systems.
Your Responsibilities as an AI Workflow and Automation Specialist VA would be:
AI Workflow Implementation
• Review existing business processes and identify opportunities to improve efficiency using AI tools.
• Design, test, and implement AI-assisted workflows across administration, HR, accounts, marketing, and operations.
• Develop AI prompts, templates, and standard operating procedures for recurring tasks.
• Create workflows supporting document drafting, email management, reporting, research, data entry, and internal communications.
• Assist with the practical and controlled adoption of AI technologies throughout the business.
• Test AI outputs for quality, consistency, accuracy, and business relevance.
• Develop and maintain a library of approved prompts, templates, and AI use cases.
Automation and Systems Support
• Build and maintain automations using platforms such as GoHighLevel, Base44, SuperAgents, Zapier, Make, Power Automate, N8N, Airtable, Notion, and similar tools.
• Integrate business systems to eliminate repetitive manual work.
• Automate administrative processes, notifications, reporting workflows, form submissions, and data transfers.
• Review existing systems and recommend practical improvements.
• Develop workflow dashboards, tracking tools, and reporting solutions.
• Support enhancements to CRM, project management, document management, and task management systems.
• Troubleshoot automation issues and maintain documentation of solutions.
Process Improvement
• Map existing processes and identify bottlenecks, inefficiencies, and manual dependencies.
• Develop process documentation, workflow diagrams, SOPs, and operational checklists.
• Recommend improvements to task management, communication flows, and approval processes.
• Collaborate with leadership to improve administrative, HR, accounting, and operational workflows.
• Support ongoing continuous improvement initiatives across the business.
AI Tools and Business Support
• Implement and manage approved AI tools and technologies.
• Research and recommend new AI solutions where appropriate.
• Support the setup and optimisation of AI assistants, workflow agents, chatbots, and automation tools.
• Assist with AI-powered content creation, reporting, meeting summaries, email drafting, and research activities.
• Provide basic training and guidance to staff on approved AI platforms.
• Promote responsible AI usage, ensuring confidentiality, accuracy, and compliance with business standards.
Documentation and Training
• Create user guides, SOPs, and step-by-step process documentation.
• Maintain records of automations, workflows, system configurations, and AI tools.
• Develop training materials and knowledge resources for internal teams.
• Provide recommendations for future system enhancements and digital transformation opportunities.
Requirements
Essential Skills & Experience
• Minimum 4 years of relevant experience implementing AI workflows, automation platforms, digital business systems, process improvement solutions, or digital transformation initiatives.
• Proven experience in a Virtual Assistant, Systems Specialist, Automation Specialist, Operations Support, Business Process Improvement, or similar role.
• Hands-on experience with AI tools such as ChatGPT, Claude, Gemini, Microsoft Copilot, or similar.
• Experience using automation platforms including Zapier, Make, Microsoft Power Automate, Airtable, Notion, N8N, Base44, Beehive, SuperAgents, or similar technologies.
• Strong understanding of workflow design, process improvement, and systems optimisation.
• Ability to analyse manual processes and design practical automation solutions.
• Excellent written and verbal English communication skills.
• Strong attention to detail and problem-solving capabilities.
• Experience testing workflows and resolving system issues.
• Ability to manage confidential business information responsibly.
• Self-motivated with the ability to work independently and manage project-based work.
Preferred Experience
• Experience working with Australian businesses.
• Experience supporting administration, HR, payroll, accounts, marketing, or operational workflows.
• Experience with CRM platforms, project management tools, and document management systems.
• Experience creating AI prompts, workflow agents, chatbots, or internal knowledge bases.
• Knowledge of dashboard reporting, spreadsheet automation, and data management.
• Understanding of APIs, webhooks, and systems integrations.
• Familiarity with Canva, email marketing platforms, social media tools, or website management tools.
