What You’ll Do
We are seeking an AI Admin to administer and govern the AI tooling that Horizon3 employees use for their work. The Business Applications (BizApps) team is the operational backbone for organizational collaboration, system connectivity, and process automation at Horizon3. We partner with every department to provide the platforms, guardrails, and integrations that eliminate manual toil safely and efficiently. We own and administer Jira, Jira Service Management (JSM), Confluence, Rovo, Loom, Glean, and our citizen development platform, Workato. We hold ourselves to least-privilege access, data privacy, and auditable data flows in everything we build.
In this role, you will administer Glean and Rovo, and support configuration and access for work done in BizApps specific Claude, Gemini, and AWS Bedrock resources. You will manage access, connectors, and settings, and set up Projects, Skills, Gems, and agents of moderate complexity. You will help ensure AI tools reach only the data each person is entitled to see. You will scope and complete moderately complex projects with little direction.
This is an individual contributor role reporting to the Senior Manager, Business Applications. You will work with the Senior Engineer on complex agent and automation builds, and with the IT Admins on shared platforms. The path from Admin to Senior Engineer is a defined growth route on this team.
This role will be responsible for:

Administer Rovo, including agent availability, access, and settings within our Atlassian environment
Configure and support Projects, Skills, Gems, and agents in Claude, Gemini, and AWS Bedrock, including access groups and workspace settings related to BizApps assets and resources
Manage provisioning, deprovisioning, and licensing for AI platforms using role-based access control (RBAC)
Build and maintain lower-complexity agents, Projects, Skills, and Gems for business teams, and escalate complex builds to the Senior Engineer
Gather use case, data source, and access details from AI enablement requests and route them to the right platform and owner
Implement access controls and data handling standards for AI deployments with Security and IT Engineering, applying least-privilege access and checking connector permissions against source system permissions
Monitor AI tool usage for misuse, permission drift, and unexpected data exposure, and escalate concerns to Security and the Senior Manager
Maintain a current record of AI tools, connectors, and deployed agents, including owner, purpose, data access, and review date, to support audits
Track platform releases and changes, assess their impact on access and data handling, and communicate them to the team
Write user guidance and enablement content that helps employees use approved AI tools correctly
Report on adoption, license utilization, and platform health to the Senior Manager
Demonstrate a commitment to integrity, process improvement, and customer satisfaction
Must have hands-on experience administering at least one enterprise AI, enterprise search, or comparable SaaS platform, including users, roles, permissions, and integrations
Must have hands-on experience configuring Projects, Skills, Gems, agents, or similar on at least one of Claude, Gemini, Glean, Rovo, or AWS Bedrock
Must have an understanding of RBAC, least-privilege access, and how source system permissions affect what an AI tool can retrieve or expose
Must have experience troubleshooting connector, access, and configuration problems and escalating them with clear diagnostic detail
Must be able to scope, plan, and complete moderately complex projects with little direction from a manager
Must be able to write clear guidance and documentation for technical and non-technical employees
Must be able to follow data handling and security requirements when working with AI tools that access company data
Bachelor’s degree in Information Systems, Computer Science, Business, or a related field, or equivalent practical experience

Horizon3.ai Insights
What We Do
Horizon3.ai's mission is to help you find and fix attack vectors before attackers can exploit them. NodeZero, our autonomous penetration testing solution, enables organizations to continuously assess the security posture of their enterprise, including external, identity, on-prem, IoT, and cloud attack surfaces. Like APTs, ransomware, and other threat actors, our algorithms discover and fingerprint your attack surface, identifying the ways exploitable vulnerabilities, misconfigurations, harvested credentials, and dangerous product defaults can be chained together to facilitate a compromise. NodeZero is a true self-service SaaS offering that is safe to run in production and requires no persistent or credentialed agents. You will see your enterprise through the eyes of the attacker, identify your ineffective security controls, and ensure your limited resources are spent fixing problems that can actually be exploited. Founded in 2019 by industry, US Special Operations, and US National Security veterans, Horizon3.ai is headquartered in San Francisco, CA, and made in the USA.
