Job Description:
This is a hybrid position with three in-office days at our office in downtown Jacksonville
Summary:
Provide administrative and operational support to the Northeast Florida Agency Account Manager and Management. Responsibilities include running monthly sales and production reports, assisting with the collection and resolution of outstanding agent items, and helping clear outstanding balances for canceled agents. The role also supports event planning by researching and evaluating venues, coordinating logistics, and scheduling agent appointments. In addition, this position works closely with the education and marketing departments to coordinate agent training and manage marketing collateral inventory to ensure materials are organized and readily available.
Essential Duties and Responsibilities:
- Support Northeast Florida Agency Account Manager and Management in support of business development objectives.
- Run monthly Sales and Production Reports and work with Northeast Florida Agency Account Manager and Management to evaluate agent revenue, order count and order performance and identify trends.
- Assist with collection of outstanding agent items to include non-remitted policies, accounts receivable, escrow reconciliations, weekly escrow shortages, E&O and Bond renewals, search fees, open inventory and other items directed by management.
- Assist with the resolution to clear all outstanding items relating to cancelled Agencies.
- Coordinate with Northeast Florida Agency Account Manager to plan events for key agents, including Lunch & Learns, Picnics, Award Celebrations and Holiday Parties.
- Partner with Northeast Florida Agency Account Manager to plan Annual Agent Appreciation event.
- Event planning responsibilities include researching and evaluating venues, space plans, food and beverage options and pricing. Onsite event management may be required for larger events.
- Schedule agent appointments, as needed.
- Work with Education to schedule Realtor Training events with agents.
- Manage marketing collateral inventory to ensure appropriate items are available as needed.
- Coordinate and support in-person agency visits at agents office locations.
- Complies with Company policies, procedures, regulatory requirements and completes mandatory company compliance training by prescribed deadlines.
- At a minimum, the ability to work your scheduled work hours, Monday through Friday.
- Ability to work overtime as requested by management. This includes attendance at after-hours for Agent/Company events.
- Dependable, reliable and punctual attendance is required, which may include in-office attendance or attendance at company, industry or other events that occur outside regular business hours.
- Ability to accept supervision and direction, as well as constructive feedback.
- Ability to collaborate and interact effectively and professionally with all levels of management, employees and customers by email, phone, video conferences and in person.
- Demonstrates courtesy, flexibility, professionalism and is proactive and responsive to supervisor/manager, co-workers and customer needs and expectations.
- Other duties that may be assigned.
Knowledge and Skills Required:
- Event planning experience is preferred.
- Must reside in the Northeast Florida geographic area.
- Basic computer skills including proficiency in Microsoft Office Suite and Outlook.
- Ability to work in fast paced environment while successfully performing under extreme time constraints and meets prescribed deadlines.
- Strong attention to detail with excellent organizational skills, with ability to prioritize and handle multiple tasks and projects.
- Ability to act independently with sound judgment and take initiative.
- Written and verbal communications are clear, grammatically correct and business appropriate.
- Actively listens and is mindful of the role body language, gestures and other nonverbal actions can play in communication.

- Must be a personable, positive, and professional representative of the company.

Physical/Mental Demands:
- The ability to work with confidential information.
- The ability to perform under pressure and be flexible with disruptions throughout the workday is required.
- Repetitive and continual keyboard activity and interaction with display monitors is required.
- Local/daily travel by automobile and overnight business travel by air and/or automobile across Northeast Florida region will be required.
