Join our Member Products, Guidance & Advice team as an Advice Operations Specialist, where you’ll play a key role in supporting the day-to-day operations of Advice Services. You’ll work across processes, systems and data to ensure efficient, compliant and high-quality delivery that supports the retention and growth of members under advice.
This is a great opportunity to build expertise across adviser operations, working closely with stakeholders and contributing to continuous improvement of tools, processes and member experience.
Your New Role
As an Advice Operations Specialist, you’ll manage and support critical operational processes, adviser tools and systems. Acting as a subject matter expert, you’ll ensure data integrity, resolve issues and contribute to enhancements across platforms such as CRM, Adviser Portal and Member Direct.
Key duties include but are not limited to;
- Manage the fortnightly advice fee batch process, ensuring accurate and timely fee deductions and payments
- Maintain and support automated adviser onboarding, resolving exceptions and ensuring compliance requirements are met
- Manage adviser licensee movements in partnership with Advice Assurance, ensuring alignment with ASIC guidelines
- Act as a data custodian across adviser services, including authorities, fees, workflow cases and adviser profiles
- Monitor and manage adviser third-party authorities, ensuring accurate creation, updates and revocations via TPA automation
- Maintain accurate adviser and authority records within CRM and core systems
- Support system changes and enhancements, including raising tickets, defining business requirements and performing user acceptance testing
- Contribute to reporting, stakeholder engagement and broader team support activities
What You’ll Need
- Strong communication and stakeholder management skills
- Proven ability to manage competing priorities, work autonomously and deliver high-quality outcomes
- Analytical and data management capability, with high attention to detail and accuracy
- Strong systems capability, including experience working with workflow or CRM systems
- Intermediate skills in MS Excel, Word and PowerPoint, with exposure to Power Automate and Power BI
- Critical thinking and problem-solving skills, with a proactive approach to identifying improvements
Nice to have:
- Experience in superannuation, financial advice or a related industry
- Understanding of operational processes and compliance requirements
- Experience in process improvement or documentation
- RG146 qualification (desirable)
This is a 4 month maximum term contract opportunity.
