The Opportunity
We’re looking for a reliable, detail-oriented Advertising Sales Coordinator to join Skift and drive the day-to-day execution of our sales operations. This role is ideal for an operational professional who thrives on owning repeatable processes and ensuring digital systems run flawlessly. You will take charge of contracts, CRM data, lead management, and pipeline support, building a deep familiarity with Skift's sales engine. Why This Role Matters
Reporting to the Sales Operations Manager, you are the operational backbone of Skift’s Branded Sales team. By owning the day-to-day execution of contracts, lead management, and CRM administration, you free up leadership to focus on high-level strategy, systems, and cross-functional governance. Working closely with Sales, Studio, Product, and Finance, your meticulous attention to detail ensures that our commercial engine runs smoothly, discrepancies are caught early, and revenue is tracked accurately.
Some of What You’ll Do
Contract Administration & Deal Execution
- Generate standard sponsorship agreements, insertion orders, and order forms using approved templates, ensuring all information is complete and consistent.
- Manage the full signature routing process, follow up on outstanding agreements, and ensure executed documents are properly saved in the contract repository.
- Update deal status across HubSpot, Actuals, and prospect trackers, proactively escalating redlines or complex nonstandard terms to the Sales Operations Manager.
CRM & Lead Management
- Maintain impeccable data hygiene in HubSpot by completing routine updates, data cleanup, deduplication, and quality checks.
- Review and vet inbound leads, assign them to the appropriate sales representatives, and maintain trackers to monitor response status and conversion rates.
- Flag high-value, unclear, or suspicious inquiries, and assist with targeted prospect and audience list development.
Pipeline & Digital Campaign Support
- Reconcile routine discrepancies between contracts, HubSpot, and internal trackers, actively monitoring deals as they move from verbal agreement to closed-won.
- Prepare accurate data for monthly revenue reconciliation, recurring pacing, and campaign reports.
- Support digital campaign execution by assisting with creative collection, quality assurance, and proof-of-performance reporting for newsletter and podcast sponsorships.
Process Documentation & Cross-Team Coordination
- Document recurring workflows, update instructions as processes evolve, and support the onboarding of new team members.
- Coordinate routine operational requests across Sales, Studio, and Finance, constantly identifying repetitive tasks or process gaps that can be improved.
What You’ll Bring
- 1–3 years of experience in sales coordination, sales operations, or a similar administrative support role.
- CRM Fluency: Hands-on experience working in a CRM (HubSpot is highly preferred), with a strong grasp of data cleanup, pipeline management, and lead routing.
- Operational Rigor: Exceptional attention to detail and strong spreadsheet skills, allowing you to manage multiple deadlines, complex workflows, and detail-heavy business records simultaneously.
- Proactive Communication: Clear written and professional follow-up skills. You are comfortable communicating with clients, recognize when to escalate an issue, and never let details paralyze your execution.
- Adaptability: A calm demeanor when priorities shift, a receptiveness to feedback, and the ability to learn systems quickly in a remote work environment.
- Bonus: Experience with PandaDoc (or similar e-signature platforms), familiarity with commercial tools (Apollo, Basecamp), or prior exposure to sponsored content, media, and digital advertising.
Success Metrics
- Operational Accuracy: Contracts, CRM updates, and lead management are handled accurately, on time, and with pristine attention to detail.
- Process Autonomy: Reliable, independent execution of daily sales ops tasks and workflows within the first 6–12 months.
- Proactive Problem Solving: Errors, discrepancies, and missing data are caught early and escalated appropriately before they impact the pipeline or billing.
- Seamless Collaboration: The establishment of strong, trusted working relationships across the Sales, Studio, Product, and Finance teams.
