Summary of Position

The primary purpose of the M365 Adoption & Enablement Specialist is driving effective adoption, engagement, and sustained use of Microsoft 365 tools across the organization. This role partners with business leaders, IT, training stakeholders, and end users to improve productivity, collaboration, communication, and digital workplace practices using Microsoft 365 applications such as Teams, SharePoint, OneDrive, Outlook, Planner, Forms, Stream, Viva, Power Platform, and Copilot.

 

Essential Duties and Responsibilities

Develop and execute Microsoft 365 adoption and enablement strategies that align with organizational goals, business priorities, and IT initiatives. Assess current Microsoft 365 usage patterns, adoption barriers, user needs, and opportunities for improved collaboration and productivity. Track and report adoption progress using available Microsoft 365 usage analytics, survey data, help desk trends, and business feedback. Create and deliver training programs, quick reference guides, workshops, office hours, webinars, and communications to support effective use of Microsoft 365 tools. Serve as a trusted advisor to departments and business units by identifying practical Microsoft 365 solutions that improve workflows, reduce manual effort, and support better information management. Recommend process improvements and automation opportunities using tools such as Lists, Planner, Forms, Approvals, Power Automate, and Power Apps. Partner with IT teams to support rollout planning, change readiness, user communications, governance awareness, and post-launch adoption activities for new Microsoft 365 features and services. Promote best practices for Teams, SharePoint, OneDrive, Outlook, file collaboration, meeting management, document lifecycle management, and secure information sharing. Support Microsoft Copilot readiness and adoption by helping users understand effective prompting, responsible AI use, productivity scenarios, and organizational guidelines. Collect user feedback, adoption metrics, success stories, and lessons learned to continuously improve enablement programs. Maintain awareness of Microsoft 365 roadmap updates and translate relevant changes into business-friendly guidance for end users. Collaborate with communications, training, compliance, cybersecurity, records management, and business stakeholders to ensure adoption efforts are consistent, secure, and sustainable. Support the creation and maintenance of governance materials, including naming conventions, site ownership expectations, permissions guidance, retention practices, and acceptable use standards. Coordinate pilot programs and user champion networks to test new features, gather feedback, and accelerate adoption. Provide hands-on coaching and troubleshooting support for common adoption-related questions and workflow improvements.

 

Education and Experience

Bachelor's degree in Information Technology, Business, Communications, Education, Organizational Development, or a related field; equivalent experience may be considered. Experience supporting Microsoft 365 adoption, training, change management, business enablement, or digital workplace initiatives. Strong working knowledge of Microsoft Teams, SharePoint Online, OneDrive, Outlook, Microsoft Lists, Planner, Forms, and related Microsoft 365 services. Ability to translate technical capabilities into clear business value and practical user guidance. Excellent written, verbal, presentation, facilitation, and interpersonal communication skills. Experience developing training materials, user documentation, communications, and adoption resources for diverse audiences. Strong organizational skills with the ability to manage multiple initiatives, priorities, and stakeholder expectations. Customer-focused mindset with demonstrated ability to build relationships and influence adoption across departments.

Supervisory Responsibility

This position may have direct reports or supervisory requirements.

 

Working Conditions and Physical Demands

Physical Requirements - The Physical activities of this position involve:

Prolonged periods of sitting at a desk and working on a computer Must be able to minimally lift 15 pounds at times Ability to move throughout the office

Pay Range

$90,000-$130,000

Skills Required
