Administrative Assistant & Storekeeper

About the role:

The Administrative Assistant and Storekeeper performs the administrative duties, handle and coordinate all requests as well as run Engineering store

The position reports to Assistant Director of Engineering as well as Director of Engineering.

What you will do:

  • Handles all guest interactions with the highest level of hospitality and professionalism, accommodating special requests whenever possible
  • Ensure that the work order/request system is properly executed and those items from the logbook are followed up as necessary.
  • Organize, filing of engineering document concerns and prepare the Energy report or other reports assigned by managers
  • Ensure the attendance and payroll process of daily hires complete in an accurate and a timely manner
  • Ensure the accurate department’s vacation summary in excel sheet and update in Orisoft program on a monthly basis
  • Responds to all requests in an accurate and timely manner both in person and by phone as well as keep the records
  • Resolves guest complaints, and find opportunities to recognize and personalize the service experience for all guests
  • Handle the primary research and follow-up necessary on the purchasing of equipment, replacement of parts and repairs. This includes contacting vendors for best prices, writing purchase orders, receiving goods, and completing projects.
  • Able to handle and run the Engineering store during the absent of Storekeeper
  • Report any damages observed within the Resort area, whether it be guestroom, public areas, or any employee housing units through the Engineering reporting systems in place.  Reporting to be done within one hour of discovery

What you bring:

  • Must have existing work authorization to work in the country of Thailand
  • Proven experience in a similar role within a luxury hotel or resort
  • Excellent administrative and multitask skills and good problem-solving ability.
  • Proficient in computer skills, such as Excel, Words, Power Point, and the ability to learn new software programs as trained.
  • Excellent communication, problem-solving, and guest service skills
  • Excellent personal presentation and interpersonal skills
  • Warmth, care, and genuine enthusiasm when dealing with guests and internal customers
  • Commitment to upholding Four Seasons Service and Culture standards
  • Ability to handle multiple tasks and remain calm under pressure

Schedule & Hours:

  • This is a full-time position
  • The working hours will primarily be early morning, and days during weekdays and weekends.
