Position Summary:
Responsible for supporting the intake and admission process for participants entering the Homeless Veterans’ Reintegration Program (HVRP). This position conducts participant screenings and assessments, verifies eligibility and required documentation, completes admissions paperwork, and ensures accurate and timely data entry. The Admission Specialist serves as an initial point of contact for participants, providing professional and compassionate assistance while explaining program requirements, services, and expectations. Additional responsibilities include guiding veterans through program enrollment, coordinating supportive services (e.g., mental health, benefits, clothing, transportation), facilitating workshops, and following up on progress. This role is vital in building rapport and trust with participants and improving retention in the program.
Essential Job Functions:
- Documents all incoming calls regarding admissions and accurately inputs all necessary information into admissions database.
- Verifies insurance by checking enrollment and funding status in multiple databases and documents insurance benefits in admission database prior to admission.
- Facilitates completion of any client information, financial payments, authorizations or other documentation at the time of admission.
- Maintain proper balance regarding source of payment (fee for service, BHO/NBH, public, private and third party payers)
- Responsible for educating clients on benefits and opportunities within the WestCare system.
- Resolves any issues with coverage and escalates complicated issues to the department manager and/or director.
- Coordinate with the Program Manager to assure all admissions/transfers/discharges are completed within the appropriate time frame.
- Work collaboratively with treatment teams of all programs, communicating information needed to maximize good customer service to clients, referral sources and third party payers.
- Maintain daily census and provide census information to internal and external sources on a timely basis.
- Assist all clients with application process for Medicaid by assisting with completion of the application, addressing any questions or concerns and helping the client to find the most appropriate coverage option available.
- Relay reporting information to Revenue Cycle Manager regarding non-insured clients, daily.
- Conduct assessments to determine veterans’ employment needs, skills, and career goals.
- Assist veterans in overcoming barriers to employment by connecting them with supportive services and resources
- Collaborate with case managers, vocational training programs, and veteran service providers to enhance employment success.
- Perform other duties as assigned.
Essential Qualifications:
Certifications/Licenses:
- Must have the ability to obtain CPR & First Aid Certification and an Annual Tuberculosis Test
- Valid Driver’s License and the ability to obtain and maintain eligibility for WestCare Vehicle Insurance
During your tenure with WestCare there may be new requirements, including, but not limited to vaccinations that are issued by local, State, Federal, and/or Funders that WestCare may have to comply with. Should this occur Human Resources or appropriate personnel will inform you.
Education:
- Associate’s degree in related field (Bachelor’s preferred)
Experience and Competencies:
- Two years of admissions and insurance verification experience, preferred or at least 2 years of experience in job development, or case management.
- Knowledge of the Criminal Justice System, preferred
- Knowledge/Experience with Substance Abuse / Behavioral Health clientele, preferred
- Be able to multi-task;
- Proficient in Microsoft Excel and Outlook;
- Excellent documentation & communication skills;
- Ability to exercise good judgment and discretion. Ability to operate a computer and complete documents in Microsoft Word program formats or the ability to learn.
- Ability to respond as needed to crisis situations in an efficient manner.
- Ability to work well in a team environment.
