The Admission Assistant supports the admissions process for residents entering the skilled nursing facility. This position assists with coordinating admissions, gathering and organizing required documentation, communicating with residents and families, and working closely with nursing, social services, business office, and other departments to ensure a smooth and efficient admission experience.
Reporting: This position reports directly to the Admissions/Marketing Director or designated facility leadership.
What We’re Looking ForKey Responsibilities- Assist with coordinating new resident admissions and preparing for scheduled arrivals
- Collect, organize, and verify admission documents and required information
- Assist with obtaining insurance, demographic, medical, and identification information
- Communicate with hospitals, referral sources, residents, families, and facility staff regarding admissions
- Ensure admission paperwork is complete, accurate, and submitted in a timely manner
- Assist with preparing admission packets and resident records
- Enter and update resident information in the facility’s EMR and other systems
- Coordinate with nursing staff to ensure necessary clinical information is available for admission
- Follow up on missing documentation, orders, signatures, and other admission requirements
- Assist residents and families with questions regarding the admission process
- Maintain confidentiality and protect resident information in accordance with HIPAA
- Support the Admissions/Marketing team with daily administrative tasks and referral follow-up
- Maintain organized admission records and assist with audit and survey readiness
- Perform other duties as assigned by facility leadership
- High school diploma or equivalent preferred
- Previous healthcare, skilled nursing, assisted living, hospital, or administrative experience preferred
- Experience with admissions, medical records, insurance verification, or healthcare administration is a plus
- Strong organizational and time-management skills
- Excellent verbal and written communication skills
- Professional and compassionate approach when interacting with residents and families
- Ability to handle confidential and sensitive information appropriately
- Strong attention to detail and accuracy
- Ability to prioritize multiple tasks in a fast-paced healthcare environment
- Comfortable working with computers, electronic medical records, and Microsoft Office or similar systems
- Ability to work effectively with nursing, social services, business office, and other interdisciplinary team members
- Skilled Nursing Facility environment
- Frequent sitting, standing, walking, bending, and reaching
- Ability to work in a fast-paced environment with frequent interruptions
- Regular interaction with elderly and medically complex residents, families, visitors, and healthcare professionals
- May occasionally need to assist with moving or organizing admission materials and records
