Role Profile:

The Office Administrator Senior Assistant is responsible for ensuring the smooth day-to-day operation of the Thailand office by delivering professional front-of-house services, office administration support, facilities coordination, and local business support activities. The role serves as a key point of contact for employees, visitors, vendors, and service providers, helping maintain a safe, efficient, and well-organized workplace that supports business operations and employee experience.

Working closely with the Thailand leadership team and broader business functions, the role will coordinate office facilities, administrative processes, procurement activities, visitor management, meeting arrangements, and shared services support. Success in this role requires a strong customer-service mindset, excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced consulting environment.

The Administrator Senior Assistant will be responsible for:

  • Manage the front desk area to ensure effective receiving and relaying of calls promptly, checking updates & forwarding e-mail: Office e-mail, taking messages and/or forwarding callers to other appropriate personnel, and mail communications both internally and externally to maintain a professional image.
  • Schedule and reserve conference rooms. Follow prevailing authorization processes, policies, and practices for all aspects role (e.g. Health and Safety, expenses, expenditure, travel, etc.)
  • Meet and greet visitors in a warm, welcoming, and professional manner at all times. When required, guide visitors to sign in/out of the office logbook and issue/collect visitor passes. Brief visitors on Emergency exits.
  • Maintaining office cleanliness; including paper waste, common areas, utility rooms, spare desks, and pantry, keeping on top of cleaning contractors to ensure they are providing a high level of service.
  • Schedule and coordinate appointments, meetings, and events (both internal and external) as necessary.
  • Manage the purchasing of all office supplies, furniture, equipment & printing, and stationery.
  • Backup or support any company administration matters/tasks when in need or upon request by Consultants/Partners.
  • Support Share service project : Courier hard-copy to client
  • Support Share service project : Manual cheque collection, scan, POA (if needed) + arrange bank-in.
  • Support Share service project : Tax-filing PND 3, 53, 54 and PP 30 & 36 (VAT Report)
Key Qualifications
  • Bachelor's degree in Business Administration, Office Management, Hospitality Management, Human Resources, or related disciplines.
  • 3–5 years of experience in office administration, facilities management, executive support, workplace services, or reception management.
  • Experience working in a multinational company, consulting firm, or professional services environment is preferred.
  • Strong knowledge of office operations, facilities coordination, procurement processes, and vendor management.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Good command of both Thai and English, with strong written and verbal communication skills.
  • Experience coordinating with external vendors, building management, service providers, and government agencies is an advantage.

Skills Required
