Position Description

Managing more than US$7 billion in assets with more than 25 years of business, CITIC Securities CLSA Capital Partners (CLSACP) is the overseas alternative asset management arm of CITIC Securities / CITIC CLSA comprising private equity, transportation & real assets and private credit investment strategies.

The Administrator, is responsible for supporting the manager and senior management team in the daily operating and administrative tasks of the alternative investment management business, CITIC Securities CLSA Capital Partners (CLSACP). Provide administrative support on day-to-day basis, problem-solving and keep workplace running smoothly. The responsibility is also including the provision of a range of support on operations, regulatory and business initiatives, and assisting in the preparation of management reports.

Key Areas of Responsibilities

  • Management Support - Work closely with manager and management team to assist and support of all administration aspects of the business across regions, including the joint ventures where appropriate. Providing administrative support in preparation for a range of key internal and external interactions, including meetings, agendas, minutes, papers and governance, invoice payment, relevant claims, procurements, business travel arrangements, client meetings arrangements, arrange office stationery and other supplies. Perform secretarial duties such as handling telephone calls/visitors; drafting of emails and correspondences; receiving, distributing and tracking incoming/outgoing correspondences.

  • Business Support – Work closely with the respective strategy teams to support investors onboarding and related compliance matters, investors’ questionnaires, new fund launches, etc.  Maintain high-standard of filing system, drafting and arranging OA approval, notary and apostille documents

  • Regulatory and Compliance – Assisting the manager and work closely with other stakeholders as well as other group functions in certain regulatory and compliance approval work-flow. Maintaining directorship registers, monitoring of membership and licensing record for annual renewal and following up training reminder when applicable.

  • Project Management - Involved in day-to-day project management and execution responsibility for special projects and projects regarding operational efficiency enhancements.

  • Stakeholder Management – Work closely with internal teams like Group Tax, FATCA-CRS, Financial Crime, Finance, Compliance, Risk, Admin, HR, Audit on group-wide initiatives and projects.

  • Internal Management Reporting - Assist in the preparation of management reports, documents for Head quarter approval, board resolutions, quarterly and annual reports in other languages, as well as other periodic and ad hoc group reporting where required.

Requirements

  • Degree holder with at least 4 years’ relevant experience in administration, operations and/or compliance field.

  • Strong analytic skills with ability to assimilate complex information. 

  • Excellent interpersonal, communications, presentation and negotiation skills.

  • Ability to develop excellent relationships and manage / influence both internal / external stakeholders for the best outcome for the business across various seniority within a large organization.

  • Ability to handle multiple projects, to work independently and a good team player.

  • Fluent in written and spoken Chinese and English. Specifically, strong Chinese and English report-writing skills with ability to clearly and concisely communicate detailed information and critical concepts.

  • Proficiency in MS office (incl. Excel, Word and PowerPoint) is required.
