The Administrative/Virtual Assistant provides comprehensive administrative, organizational, and remote support to individuals, managers, executives, entrepreneurs, or business teams. This role involves managing day-to-day administrative activities, coordinating schedules, communicating with clients and team members, maintaining records, preparing documents, and ensuring that business operations run smoothly and efficiently.

Key Responsibilities
Administrative Support
- Manage daily administrative tasks and provide general office support.
- Organize and maintain digital files, records, documents, and databases.
- Prepare, format, proofread, and edit letters, reports, presentations, spreadsheets, and other business documents.
- Perform accurate data entry and maintain up-to-date information.
- Create and maintain spreadsheets, reports, trackers, and administrative records.
- Handle confidential and sensitive information professionally.
- Assist with preparing meeting agendas, notes, minutes, and follow-up action items.
- Coordinate office supplies, equipment, and other administrative needs when required.
Calendar & Schedule Management
- Manage calendars and schedules for managers, executives, or clients.
- Schedule, reschedule, and coordinate appointments, meetings, interviews, and events.
- Send meeting invitations, reminders, and confirmations.
- Monitor deadlines and help ensure important tasks are completed on time.
- Coordinate meetings across different time zones when necessary.
Email & Communication Management
- Monitor and organize incoming emails and correspondence.
- Respond to routine emails and inquiries professionally and promptly.
- Draft emails, letters, announcements, and other communications.
- Prioritize important messages and escalate urgent matters when appropriate.
- Communicate with clients, customers, vendors, employees, and other stakeholders.
Customer & Client Support
- Respond to customer and client questions by email, phone, chat, or other communication platforms.
- Provide professional and courteous customer service.
- Follow up with clients regarding appointments, requests, documents, payments, or outstanding matters.
- Maintain accurate customer records and contact information.
- Resolve routine issues or direct complex concerns to the appropriate person.
Data Entry & Record Management
- Enter, update, verify, and maintain information in databases and spreadsheets.
- Organize electronic files using appropriate naming and folder structures.
- Maintain accurate records and ensure information is easily accessible.
- Review data for accuracy and correct errors when identified.
- Assist with preparing routine reports and administrative summaries.
Meeting & Project Coordination
- Schedule and coordinate virtual and in-person meetings.
- Prepare meeting materials and supporting documents.
- Take meeting notes and distribute minutes when required.
- Track assignments, deadlines, and project updates.
- Follow up with team members regarding outstanding tasks.
- Assist with coordinating small projects and administrative initiatives.
Travel & Event Support
- Research and coordinate travel arrangements when requested.
- Assist with flight, hotel, transportation, and itinerary organization.
- Prepare travel schedules and related documentation.
- Assist with planning virtual or in-person events, conferences, and appointments.
Bookkeeping & Financial Administrative Support
- Assist with preparing invoices and tracking payments.
- Maintain expense records and receipts.
- Organize financial documents for management or accounting teams.
- Assist with basic billing and account reconciliation tasks where appropriate.
- Follow up on outstanding invoices or administrative payment matters.
Online & Technical Support
- Manage online calendars, cloud storage, and collaboration platforms.
- Use video conferencing and communication tools such as Zoom, Microsoft Teams, or Google Meet.
- Maintain documents using Microsoft Office or Google Workspace.
- Assist with basic website, social media, CRM, or online business administration when required.
- Learn and use company-specific software and systems.
