JOB SUMMARY

The Administrative Support Specialist serves as the welcoming first point of contact for The Road Home, embodying the agency's mission and compassion. This role is responsible for professionally greeting all guests and visitors, managing a multi-line phone system, and ensuring the security of the reception area. Key duties include providing general administrative support, managing office inventory and mail, and coordinating employee events, all while maintaining a trauma-informed, safe, and organized environment.

*This is an in-person position that requires travel between various resource centers and shelters.

Administrative Support Worker

Essential Duties and Responsibilities 

  1. Greet all visitors to The Road Home Housing and Administrative Services building in a warm and professional manner.
  2. Answer, screen, and forward incoming phone calls, taking accurate and detailed messages when necessary.
  3. Professionally handle general inquiries and resolve complaints received through the main agency phone lines.
  4. Document and report observations, non-emergency and emergency calls, illegal activity on the premises
  5. Accurately place orders for agency supplies and services, following all established procedures.
  6. Maintain and track office supply inventory, ensuring adequate stock levels are met.
  7. Receive, sort, and distribute all incoming mail and packages in a timely manner.
  8. Maintain workplace security by monitoring the entrance, checking visitors in and out, issuing visitor badges, and maintaining a security log; ensure the reception area is never left unattended.
  9. Provide general administrative support to the executive team, including scheduling and preparation for meetings including but not limited to, special projects, staff appreciation, and events.
  10. Co-chair the Employee Committee, and manage logistics and planning for employee committee events and activities.
  11. Collect timely updates, collaborate with various programs and departments to create a monthly all-staff newsletter.  
  12. Ensure a consistently high quality of customer service is provided to all visitors and staff.
  13. Attend mandatory agency trainings, including Trauma-Informed Care, Housing Focused, De-escalation, Suicide Prevention, CPR, and more.
  14. Participate in emergency drills and environmental safety activities, as required.
  15. Follow all agency protocols for security, safety, and sanitation to maintain a clean and secure environment for guests and staff.
  16. Maintain regular and reliable attendance as an essential function of this position.

Education and Experience 

  • Experience working with diverse and/or vulnerable populations is preferred.  
  • Bachelor's degree preferred or equivalent work experience.  
  • Minimum of 2 years of administrative experience.

Physical and Equipment Requirements 

  • Ability to lift and move heavy items up to 35 pounds. 
  • Ability to sit, stand, and move for at least an hour at a time or more.  
  • Ability to bend, squat, kneel, twist, push, and pull to perform job functions. 
  • Ability to use stairs or steps. 
  • Ability to safely climb step stools. 
  • Must be at least 21 years old, have a valid, unexpired driver’s license, and the ability to drive a vehicle, as needed.

What We Do

Originally established as the Traveler’s Aid Society in 1923, The Road Home changed its name in 2001 to better reflect our mission of helping people step out of homelessness and back into our community. The Road Home is a private, non-profit social service agency that assists individuals and families with children experiencing homelessness in Salt Lake County and along the Wasatch Front. The agency has been providing emergency shelter services since 1988 and housing services since 1995. The Road Home began operating under a Housing First model in 2005 and became the central Rapid Re-housing provider in Salt Lake County in 2009. We currently offer emergency shelter services in Salt Lake County with no eligibility criteria for clients to access services including; nightly beds, showers, access to laundry facilities, clothing, blankets, diapers, personal toiletries, etc. Case managers can assist clients in connecting with public benefits, substance abuse treatment, mental health assessment and treatment, job training and development, childcare services, housing assistance and more. Our Salt Lake Community Shelter and Resource Center and Midvale Family Resource Center shelters can be accessed 24 hours/day, 365 days/year. Priority populations like families with children, Veterans and those experiencing chronic homelessness are assigned case managers to facilitate transitioning out of shelter and into housing as quickly as possible. Case managers work with clients to develop a basic needs assessment and a short-term case plan. Once in housing, case managers continue working with clients to help them build the skills necessary to maintain stable housing, increase income, and ensure access to mainstream benefits. This includes conducting in-home visits to ensure participants are meeting the terms of their lease, providing referrals to community resources, and helping to identify and eliminate barriers that have prevented households from finding and/or maintaining housing.
