Pathway Caring for Children is seeking an organized, dependable, and welcoming Administrative Support Assistant to join our team. This position plays an important role in keeping our day-to-day operations running smoothly while providing excellent service to clients, families, staff, board members, and visitors.

What You’ll Do
  • Serve as a welcoming first point of contact for clients, families, visitors, and callers.
  • Answer and route incoming phone calls and assist individuals visiting the office.
  • Check in mental health clients and assist with appointment-related needs.
  • Support scheduling, client appointment confirmations, provider calendars, and cancellation backfill.
  • Assist with general office operations, supplies, mail, documents, equipment, and vendor coordination.
  • Provide administrative support to Pathway's Mental Health team, including tracking documents, correspondence, registrations, and reports.
  • Provide administrative support for Pathway's Board of Directors, including meeting materials, minutes, scheduling, electronic votes, board records, orientations, and meeting logistics.
  • Assist the Executive Director with scheduling, correspondence, document preparation, and special projects.
  • Complete other administrative projects and responsibilities as assigned.
  • Support Community Engagement by recording check donations in Daily Cash and the donor CRM, assigning donor thank-you tasks to appropriate staff, and preparing and mailing donor acknowledgment letters
What We’re Looking For
  • At least two years of post-secondary education OR three or more years of equivalent work experience.
  • Strong organizational and general office skills.
  • Proficiency with word processing and data entry.
  • Excel experience preferred.
  • Strong written and verbal communication skills.
  • A pleasant, professional, and welcoming demeanor.
  • Ability to manage multiple responsibilities and work effectively with staff at all levels of the organization.
  • Sensitivity and responsiveness to the diverse backgrounds and experiences of the children and families we serve.
  • Ability to successfully meet required background screening requirements.

Qualifications

The Administrative Support Assistant position shall possess at least two years of post secondary education or equivalent work experience (3 years or more). This person must meet the background screening as defined in OAC code 5101:2-5-09. He/She must have pleasant, upbeat demeanor and a welcoming personality; be knowledgeable of general office practices and good organizational skills; and must possess word processing and data entry skills.
Prefer competence and expertise in use of Excel and Access. Must possess good communication skills and demonstrate trauma sensitivity and consideration for the cultural differences among the children and families served by Pathway.
