Position Summary
The Administrative Support Specialist is a part-time Federal Work Study position at National University’s Spectrum Campus. This role will provide direct administrative support to the Office of the Registrar and will be responsible for organizing, scanning, and importing 100K+ documents using Disconnected Scanning into the University’s digital system and designated folders in the document repository, On Base. This role involves ensuring accurate and efficient digital file management, maintaining data integrity, and supporting the team in meeting document-related needs.
Onsite: Spectrum Center, San Diego, CA
Essential Functions:
- Sorting and preparing large volumes of documents for scanning
- Scanning and importing academic records and documents uses Disconnected Scanning
- Moving documents to assigned folders within NU’s cloud based platform, OnBase
- Performing quality checks to ensure document was scanned clearly and saved successfully in assigned folder
- Ensures FERPA protection on all documents and maintains high level of privacy
- Collaborates and communicates progress to supervisor
Requirements:
- Must be a current National University student who has completed a current FAFSA
- Ability to work up to 20 hours per week Monday-Friday: Hours
Technical / Functional Skills:
- Excellent time management skills.
- Ability to understand and follow written and oral instructions.
- Ability to complete projects in a timely manner.
- Excellent written and verbal communication skills
- Outstanding organizational skills.
- Strong interpersonal skills
- Strong organizational skills and the ability to follow standard operating procedures
- Proficiency with computers and Microsoft Office software (e.g. Word, Excel) preferred.
- Ability to work independently and manage large volumes of paperwork

Candidate receiving offers will be offered a salary/pay rate commensurate with experience that vary based on a candidate’s qualifications, skills, and competencies. Absent exceptional circumstances, candidates will be offered a salary within this range for this position. The minimum salary will be offered based on the minimum exemption threshold based on state of residency.
