Job Vacancy: Administrative Support
As an Administrative Support, you will be responsible for coordinating day to day administrative operations, managing documentation, supporting meetings and events, and providing high quality service to internal stakeholders. This role requires strong organisational skills, attention to detail, and the ability to prioritise in a fast paced environment.
In this role, you will:
- Organise and coordinate meetings, conferences, business events, and travel arrangements to ensure smooth and efficient execution;
- Provide administrative and correspondence support, including handling calls, visitors, reports, minutes of meetings, and draft responses to internal and external queries;
- Maintain accurate records and systems, including departmental databases, CMMS/Vipertex, logs, filing systems, and sustainability-related data;
- Perform purchasing and procurement support tasks, including raising work orders, placing orders, tracking deliveries, processing invoices, interim payments, and managing inventory and petty cash;
- Monitor budgets, expenses, contracts, licences, subscriptions, and maintenance agreements to support cost control and timely renewals;
- Compile, analyse, and input operational data into reports and spreadsheets to support decision-making and performance tracking;
- Support BU projects and operations, including acting as alternate to Technician CMMS when required, to ensure continuity of business;
- Deliver a high level of service to internal and external stakeholders through timely responses, effective coordination, and follow-up;
- Ensure compliance with organisational standards, safety policies, and best practices while actively promoting the MCB brand and values;
- Continuously develop administrative, technical, and procedural skills in line with evolving business needs.

We are looking for candidates who have:
Either:
- A Diploma in Business Administration;
- A minimum of 3 years’ experience in an administrative role within technical services or building services;
- Strong computer literacy, with proven proficiency in Microsoft Office applications.
Or:
- HSC qualification;
- A minimum of 6 years’ experience in an administrative role within technical services or building services;
Strong computer literacy, with proven proficiency in Microsoft Office applications.
A combination of qualifications and experience will be considered.
