The Administrative Specialist provides high-level administrative and operational support to department leadership, helping ensure efficient daily operations, strong communication, and organized workflows across the department. This role serves as a central point of coordination for projects, reporting, meetings, and community engagement activities while supporting continuous improvement and organizational effectiveness.

Key Responsibilities
- Serve as a primary point of contact for department communication, including phone calls, emails, and team coordination
- Provide administrative and clerical support to department leadership and team members
- Maintain spreadsheets, software systems, filing systems, and departmental documentation to support operational efficiency
- Assist with presentations, reports, dashboards, and other department materials
- Coordinate meetings, trainings, logistics, and department-related events
- Support community engagement activities and advisory board communications
- Monitor departmental processes and identify opportunities for workflow improvements
- Assist with receipt and distribution of deliveries and other operational support tasks
- Contribute to monthly and quarterly reporting activities as assigned
Requirements, Skills, Knowledge and Expertise
- High School/GED required
- Working knowledge of Windows operating systems and Microsoft Office tools, as well as expertise in the software used by the department required
- Excellent oral and written communication skills and exceptional interpersonal skills required
- Initiative to manage multiple projects using high-level analytical skills required
- Organizational skills combined with good decision-making skills and the ability to be flexible in task assignments required
- Must possess a valid driver’s license upon hire
