Description:

The Administrative Specialist will support the management team in a staff capacity by assisting with daily administrative duties and other projects. This role reports to the Office Administrator. Preferred applicants will have experience with conducting new hire orientation and working knowledge of Workday and iManage. The Administrative Specialist position is currently required to be onsite in the New York City office 5 days a week.

Key Responsibilities:

  • Organize records and safeguard confidential information.
  • Draft, transcribe and type routine correspondence and documents.
  • Maintain files of correspondence and other records.
  • Answer telephone/email and answer routine questions and/or route to appropriate team members.
  • Schedule appointments, meetings and maintain appointment calendar for supervisor.
  • Perform assigned administrative duties related to office, department or team.
  • Receive, read and route incoming mail; distribute workload to others.
  • Draft documents under the supervision of an appropriate professional.
  • Special project and duties as assigned

Required Skills:

  • Strong verbal, written and analytical skills.
  • Time management and organizational skills.
  • Advanced clerical and computer skills.
  • Very strong interpersonal and teamwork skills.

Required Qualifications & Education:

  • 4-5 years performing executive support in a corporate environment.
  • Proficient knowledge of Microsoft Office, advanced Excel and PowerPoint.

Preferred Qualifications & Education:

  • Bachelor’s Degree preferred
  • Experience with conducting new hire orientation
  • Working knowledge of Workday and iManage

Physical Requirements:

  • Ability to sit or stand for extended periods of time
  • Moderate or advanced keyboard usage

This position may be filled in New York. In accordance with the New York City Human Rights Law, the pay range for this position in New York City is $27.70 - $41.50/hour. These ranges are specific to these locations and may not be applicable to other locations. An individual's actual compensation will depend on the individual's qualifications and experience.
