This position serves as a leader, fulfilling the critical role of being the lead on the Section’s administrative efforts. The primary purpose of this position is to provide legal secretarial, administrative, and other support to the Tort Claims Section attorneys. This position is also responsible for the training and oversight of the other Tort Claims Program Assistant and may be tasked with assigning duties to this individual, as appropriate. The employee will perform a variety of office and/or technical tasks to accomplish the specialized processing of information, documents and materials, as well as maintain the database by timely entry of necessary data as required. In addition, this position will provide administrative support and record keeping for Tort Claims and as assigned, DOJ functions. This position requires screening and routing materials; filing and retrieving information and documents; providing telephone and reception services; typing and proofreading; composing legal documents and correspondence; opening and closing of claims and actions; receiving and processing bills; responding to inquiries from the general public, claimants, private attorneys and State agencies; preparing records and reports, scheduling travel, depositions and meetings; making arrangements for court reporters and room reservations; and tracking cases. The attorney-client privilege must be maintained at all times. The employee is the key player in keeping the office up-to-date on Division requisition policies and procedures.
Knowledge Skills and Abilities/Management Preferences
- Ability to utilize office equipment and other relevant technology (software and systems) to meet organizational needs.
- Thorough knowledge of services, policies and procedures related to a program or area of specialization. Thorough knowledge of program information systems in order to communicate and process information.
- Ability to demonstrate and apply this knowledge in performance of administrative tasks. Ability to explain and interpret information to clients/customers and staff.
Minimum Education and Experience

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience.

Skills Required
- High school diploma or GED and four years of related administrative experience (or equivalent combination of education and experience).
- Experience providing legal secretarial or administrative support including composing legal documents and correspondence.
- Proven ability to perform timely data entry and maintain case databases and records.
- Proficiency with office equipment and relevant software/systems for administrative tasks and scheduling.
- Ability to type, proofread, and manage filing, retrieval, and document routing accurately.
- Ability to train, supervise, and assign duties to other administrative staff.
- Knowledge of program policies, procedures, and ability to explain/interpret information to clients and staff.
What We Do
The North Carolina Department of Public Instruction (NCDPI) is charged with implementing the state's public school laws for pre-kindergarten through 12th grade.
