SUMMARY
Performs a variety of duties to provide outstanding service and support to our customers and Mechanical Products Division Sales staff. Within established procedures performs a variety of administrative support functions to receive, process and complete product orders according to customer specifications by performing the following broad range of duties:
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Stock orders/inventory management- working with the inside team, the warehouse manager/purchasing manager
- Working/learning various portals and purchase order generation
- Coordinate between shipping/ accounting on receipt errors/pricing
- Receive vendor order acknowledgement, update purchase orders /orders in P21 dates/pricing and communicate changes with Inside
- Sending a weekly open order report and generating reports for salesmen as requested
- ·Document control- scanning, filing, organizing
- Receptionist duties when necessary- lunch coverage for a week once a month then as needed in front desk receptionist absence/paid time off
- Provides administrative support to Outside and Inside Sales staff which may include generating various reports, composing routine correspondence, etc.
- Receives and reviews product purchase orders to ensure terms and conditions are correct, prepares and issues order confirmations to all appropriate parties;
- Performs order entry functions by accurately inputting product code, serial number, quantity, price, discount and other pertinent information into the computer system
- Contacts manufacturer and supplies tracking information when requested
- Maintains stocked inventory status and prepares monthly reports
- Maintains appropriate supplies for timely and accurate issuance
- Organizes and maintains file systems, files correspondence and other records
- Follows established Quality Assurance programs
- Communicates with co-workers, management, customers and others in a professional and courteous manner
EDUCATION and/or EXPERIENCE
Associate's degree from a two-year college; or three to five years related experience in industrial distribution. Or equivalent combination of education and experience.
Skills Required
- Associate's degree or 3-5 years related experience in industrial distribution (or equivalent combination of education and experience)
- Experience with order entry and purchase order processing (accurate input of product codes, serial numbers, quantities, pricing, discounts)
- Experience using Prophet 21 (P21) for updating purchase orders, dates, and pricing
- Inventory and stock order management, including maintaining stocked inventory status and monthly reporting
- Document control skills (scanning, filing, organizing) and maintaining file systems
- Ability to generate and distribute reports for sales staff and send weekly open order reports
- Professional communication with customers, manufacturers, coworkers, and management
- Willingness to perform receptionist/front-desk coverage as needed
