At Tom James Company, an administrative assistant supports our sales team members, store leaders, and key organizational leaders in fulfilling our mission to be a global leader in the fashion industry. This role directly supports the top-producing sales professional amongst a team of hard-working individuals.

Daily in office attendance required
Compensation: $40,000–$50,000
Includes a monthly performance-based bonus with eligibility beginning after 6 months of employment

Employment Status: Full-time, 40 hours per week; hourly/non-exempt
Responsibilities:
Proactive calendar management in a fast-paced, high volume, and constantly evolving client service environment
Organizing and scheduling client appointments and fittings
Exercising knowledge of geography and timeline layout based off location
Manage and maintain incoming texts and emails through the sales professional
Sending reminders & appointment confirmations daily
Monitoring all open orders and consistently checking on order statuses
Building relationships with the factory leads and maintaining communication with necessary contacts
Organize communication tracking and maintain current statuses
Accompany sales professional on a full day of client meetings once a week, gaining knowledge of the business and covering weekly responsibilities
Coordinating and maintaining all client orders/files
Communicating regularly with the sales professional and other members of the store team
Maintaining a professional image when contacting factories, corporate office, clients, and outside vendors
Sending monthly product texts to clients as needed
Meeting with the sales professional to set goals and expectations monthly
Organizing inventory alongside teammates
Pursuing efficiencies for processes and communication as needed
Picking up and delivering client items as needed
Entering customer data into CRM system
Requirements:
Two years’ office-related experience is required
Experience with a sales-oriented environment is preferred
On-site attendance is required
