Position:  Administrative & Operations Coordinator 

Location: Reno, NV - USA Parkway Area 

Reports To:  General Manager

Day Shift - Monday thru Friday - 5:30am-2:00pm 

Paid Weekly & Bi-Annual Bonuses

Position Summary:

The Administrative Coordinator provides administrative, operational, and employee engagement support to the General Manager and Distribution Center Leadership Team. In addition to coordinating administrative processes, employee programs, purchasing activities, and facility communications, this role supports operational initiatives through process documentation, workforce observations, data collection, continuous improvement efforts, and cross-functional support activities. As a key resource across the facility, this position contributes to both administrative excellence and operational effectiveness while providing flexible support to meet changing business needs.

Key Responsibilities

Administrative & Leadership Support

  • Provide      administrative support to the General Manager and Distribution Center      Leadership Team.
  • Serve as a central resource for all departments,      assisting with day-to-day administrative needs, special projects,      reporting, and operational initiatives.
  • Coordinate meetings, training sessions,      workshops, and other business activities.
  • Manage facility calendars, schedules, employee      communications, and administrative records.
  • Greet and assist visitors, vendors, contractors,      and new employees.
  • Retrieve, distribute, and process incoming mail;      prepare and coordinate outgoing mail and facility correspondence.
  • Perform other administrative and operational duties      as assigned.

Employee Records & Communications

  • Maintain      accurate employee information, including contact information, department      assignments, emergency information, apparel sizing, birthdays, service      anniversaries, and other employee records.
  • Create, update, and distribute facility      communications through digital displays, bulletin boards, announcements,      and other communication channels.
  • Maintain and track employee attendance, PTO, sick      time, and absence records to support workforce reporting, attendance trend      monitoring, and annual bonus eligibility.
  • Support employee communications by creating and      distributing announcements, recognition updates, training information, and      facility-wide communications.

Human Resources Support

  • Support temporary workforce administration,      including onboarding, orientation coordination, badge management, safety      training, and staffing agency reporting.
  • Assist with employee timecard review,      recordkeeping, reporting, and special projects.
  • Prepare and distribute attendance and workforce      reports for leadership review.

Purchasing & Financial Administration

  • Coordinate the purchase of non-inventory      supplies, office materials, employee recognition items, event materials,      refreshments, and other facility-related needs.
  • Obtain pricing, place orders, process invoices,      and maintain purchasing records.
  • Coordinate online and local purchasing activities      to support business operations, training programs, and facility events.
  • Reconcile corporate credit card receipts and      maintain supporting documentation.

Event, Training & Facility Coordination

  • Coordinate logistics for facility events,      employee recognition programs, training sessions, corporate meetings, and      workshops.
  • Serve as the local site coordinator for      corporate-led education and training programs hosted at the facility.
  • Arrange transportation, catering, meals,      refreshments, supplies, and vendor services as needed.
  • Coordinate event details with internal      departments and external vendors to ensure successful execution.
  • Coordinate with vendors and service providers to      support facility operations, employee events, training programs, and      business activities.
  • Support employee appreciation activities,      celebrations, charitable initiatives, and special events throughout the      year.

Employee Engagement & Culture

  • Actively participate in employee engagement      committees, event planning teams, charitable initiatives, and continuous      improvement groups.
  • Support programs and activities that promote      employee recognition, engagement, teamwork, and a positive workplace      culture.
  • Contribute ideas and solutions that improve      employee experience, communication, and facility operations.
  • Assist with employee recognition activities,      including birthdays, service anniversaries, and other milestones.

Reporting & Data Management

  • Maintain      and distribute operation, attendance and employee-related reports.
  • Assist leadership with data collection, tracking,      and analysis to support decision making.
  • Ensure accuracy and confidentiality of employees      and business records.

Operations Support & Continuous Improvement

  • Support operational initiatives and business  priorities across the Distribution Center. 
  • Assist with the development and maintenance of SOPs, work instructions, and process documentation. 
  • Conduct workplace observations, collect operational data, and support workforce studies and reporting. 
  • Participate in continuous improvement initiatives and problem-solving activities. 
  • Cross-train in operational processes to provide support based on business needs. 
  • Provide hands-on operational support and cross-functional assistance as business needs and workload demands      require.
  • Assist leadership with audits, process reviews and operational projects as assigned.

Education Requirements

  • High school diploma or equivalent

This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base pay offered will depend on a variety of factors including experience, education, geography and other relevant factors. This position is eligible for additional benefits to the base pay range listed above.
