We are seeking a highly motivated and enthusiastic Administrative/Office Assistant to join our fun and dynamic team!! As the backbone of our office, you will play a crucial role in keeping things running smoothly and ensuring that our team has everything they need to thrive. The role is based in our Lisle, IL office, and is on-site five (5) days a week.

Responsibilities:

  • Greet and welcome visitors with a warm smile and positive attitude
  • Manage accounts, perform bookkeeping, and prepare invoices.
  • Manage the front desk, including answering phone calls, handling mail, and coordinating deliveries
  • Schedule appointments and meetings with clients and partners
  • Assist with travel arrangements, including booking flights and accommodations
  • Maintain office supplies inventory by checking stock levels and placing orders as needed
  • Keep the office organized and tidy, ensuring all common areas are clean and presentable
  • Coordinate company events, such as team-building activities or celebrations
  • Assist the marketing team and the CEO with social media accounts
  • Assist the team with administrative tasks, including data entry, filing documents, and managing calendars
  • Support HR functions by assisting with employee onboarding paperwork
  • Handle sensitive information with utmost confidentiality

Required Skills/Abilities:

  • A positive attitude with a passion for creating a fun work environment
  • Prior experience in an administrative role is preferred but not required
  • Excellent verbal and written communication skills
  • Demonstrated ability to multitask and prioritize tasks effectively
  • An organized mindset with keen attention to detail
  • Tech-savvy with proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • A friendly demeanor with outstanding interpersonal skills
