The Marketing Events & Administrative Coordinator serves as a dual-impact specialist, ensuring the seamless execution of high-profile corporate events while maintaining the operational integrity of the company’s administrative and financial processes.
Key Duties and Responsibilities;
1. General Administrative Support
Provide Executive Level Support to Country Manager
Travel & Entertainment (T&E): Coordination of business travels. This includes booking airfare, hotel accommodations and ground transfers, ensuring arrangements align with company travel policies.
Expense Management (Concur): Ensure all/ claims include valid supporting documents (Official Receipts, invoices) and comply with internal audit standards.
Corporate Credit Card Management: Oversee card issuance, limit monitoring and support usage compliance.
Operational Monitoring: Track and maintain "Events Forms" and other administrative logs to ensure departmental requests are processed and filed systematically.
Corporate Events Management: Support the logistics of companywide events such as National Conventions, Mid-Year Conferences and Holiday Celebrations to name a few. Manage relationships with external vendors (catering, audiovisual, venues) and internal stakeholders to ensure seamless execution.
2. Marketing Event Strategy & Project Management
Project management: Support in planning, organizing, and execution of various events, including conferences, seminars, webinars, customer/clinician education programs, trade shows, corporate events and product launches. Support in all aspects of event planning, including venue selection, vendor management, catering, audiovisual equipment, transportation, and accommodations. Meeting all stakeholder requirements to ensure successful event outcomes.
Concept development: Support in developing event concepts, themes, and objectives based on stakeholder/organizational requirements. Collaborate with cross-functional teams to develop event branding, signage, and collateral materials.
Stakeholder management: Coordinate with customers or internal stakeholders to determine event goals, budget, timeline, and logistical requirements. Develop and maintain relationships with event suppliers, negotiate contracts, and ensure cost-effective solutions.
Brand management: Coordinate event marketing and promotional activities, including online and offline channels, to maximize attendance and participant engagement. Manage the creation and delivery of engaging, relevant content across various channels, ensuring consistency in messaging and branding for events. Collaborate with marketing, sales, and other relevant teams to align customer communication efforts.
Customer experience management: Conduct post-event evaluations, gather feedback, and analyze event success against predetermined goals. Analyze customer touchpoints and interactions across different channels to identify opportunities for improvement and provide personalised experiences throughout the customer journey. Increase customer satisfaction, loyalty, and retention.
Operational and logistics: Event logistics including registration, guest list management, on-site coordination, and troubleshooting. Manage event budgets, track expenses, and provide regular financial reports to stakeholders.
