The Administrative Lead serves as the principal support for the Biomedicine Design (BMD) Leadership Team as a collective body, focusing on delivering high-quality administrative and business operations assistance. This role is dedicated to ensuring the smooth functioning of the leadership team's activities, including calendar and meeting management, travel coordination, and expense reporting. The Administrative Lead acts as a knowledgeable resource for BMD colleagues, offering guidance on Pfizer's operational and business tools, and proactively contributes to team efficiency and effectiveness.
ROLE RESPONSIBILITIES
- Provide comprehensive administrative and operational support to the BMD Leadership Team, ensuring seamless execution of team priorities.
- Collaborate effectively with the BMD Operations Team and other BMD colleagues, fostering a team-oriented environment and supporting cross-functional initiatives.
- Serve as a knowledgeable resource for BMD scientific colleagues, offering guidance and training on business tools and systems for scheduling, purchasing, travel, and expense management.
- Provide support for team-building events, workshops, and seminar series to foster collaboration and engagement.
- Demonstrate initiative and sound judgment in managing and prioritizing workload, consistently delivering business and operational support within agreed timelines, and communicating adjustments proactively when needed.
- Champion continuous improvement by identifying opportunities to streamline processes, enhance efficiency, and deliver value-added contributions to BMD.
- Proactively anticipate and resolve potential issues, even in ambiguous situations, to maintain team effectiveness.
- Independently complete complex assignments, consistently providing high-quality administrative and business support to BMD.
QUALIFICATIONS
- High School Diploma or equivalent (GED) or higher
- A minimum of 6 years of experience in an administrative support role required
- Expert knowledge and proficiency with general office procedures and programs within Microsoft Office (Outlook, Word, Excel, PowerPoint, Forms, Visio and SharePoint and SharePoint Design), PT&E, Ariba, Teams. Experience with graphic or video editing software (i.e. Canva), CoPilot, Power Automate and other AI tools is a plus.
