We’re seeking an experienced Administrative Fellowship Program Manager to support the continued growth, coordination, and success of our Administrative Fellowship Program across the enterprise.
In this role, you’ll help shape meaningful learning experiences for emerging healthcare leaders while partnering closely with executive sponsors, regional stakeholders, Talent Acquisition, and program leaders to ensure the fellowship remains aligned with Advocate Health’s strategic priorities and mission to improve health, elevate hope, and advance healing for all.
About This OpportunityThe Administrative Fellowship Program Manager is responsible for leading and coordinating a wide range of programmatic, operational, and administrative functions that support the Advocate Health Administrative Fellowship Program. This includes recruitment, compliance, onboarding, offboarding, budget coordination, event planning, scheduling, fellowship rotations, mentorship experiences, leadership workshops, executive panels, and program evaluation.
This role requires strong project management, thoughtful stakeholder engagement, and the ability to drive work autonomously while maintaining program quality, consistency, and integrity across multiple regions and functional areas.
What You’ll Do- Manage a broad range of administrative responsibilities, including recruitment, compliance, onboarding, offboarding, budget coordination, event planning, and scheduling.
- Consult and collaborate with executive sponsors and key stakeholders across the enterprise to ensure program activities and projects are aligned with organizational strategic priorities.
- Manage fellowship schedule development, ensuring consistency with program specifications and functional area rotation needs in partnership with regional stakeholders.
- Organize program elements related to mentorship, leadership workshops, executive panels, and other fellowship learning experiences.
- Coordinate annual fellowship recruitment activities, including conference attendance, advertising, external website management, and interview scheduling in partnership with Talent Acquisition and regional stakeholders.
- Implement, monitor, and assess the Administrative Fellowship Program with quality and fidelity, maintaining program integrity and identifying opportunities for improvement.
- Drive program deliverables autonomously, ensuring timely updates and follow-through with executive sponsors and key stakeholders.
- Communicate effectively with executive leadership, sponsors, regional stakeholders, and fellows regarding program information, events, timelines, and updates.
- Annually develop the program calendar, including dates, locations, facilitators, and times in partnership with regional stakeholders and executive sponsors.
- Plan and prepare annual program evaluations and upcoming fellowship activities, including scheduling, material distribution, reporting, and tracking action items from workgroup meetings and Administrative Fellow Advisory Council meetings.
- Bachelor’s degree in Healthcare Administration, Organizational Development, Human Resources, or a related field.
- Typically requires 5 years of experience in human resources, training and development, leadership, organizational development, HR consultation, or a related field.
- Effective group facilitation and internal consulting skills.
- Strong research skills with the ability to develop sound proposals and successfully implement programs.
- Ability to influence and develop others who are not direct reports in order to move toward common goals and outcomes.
- Exceptional project management skills with the ability to manage multiple workstreams effectively.
- Excellent verbal and written communication skills with the ability to interact with executives, management, physicians, teammates at all levels, and fellows.
- Ability to work effectively with diverse audiences across different generations, cultures, and learning styles.
- High level of proficiency using Microsoft Office Suite, similar products, and other technology solutions.
- Ability to navigate ambiguity, establish priorities, and remain focused in a changing environment.
- Strong collaboration skills with the ability to work effectively in a team-based environment.
- Experience supporting healthcare, academic, fellowship, leadership development, or early career talent programs.
- Experience partnering with executive leaders and cross-functional stakeholders.
- Experience planning large-scale program activities, events, interviews, or learning experiences.
- Prior experience in program evaluation, continuous improvement, or reporting.
- No licensure, registration, or certification is required.
- Position requires travel to market and regional locations across the Advocate Health geographical footprint for relevant meetings and events.
- This position requires the use of a computer and sitting for prolonged periods of time.
- Must demonstrate the ability to communicate and concentrate effectively.
- Operates all equipment necessary to perform the job.
