About the Role
We are looking for an organized and detail-oriented Administrative & Document Specialist to join our team in Plovdiv on a part-time basis (20 hours per week).
In this role, you will help manage our daily office operations while taking ownership of our document and filing systems. You will be the gatekeeper of important company information, ensuring that both digital and physical records are structured, secure, up to date, and easy for the team to find.
You will have an important role in bringing structure and efficiency to the way we manage information, while also supporting the day-to-day needs of our office.
Key Responsibilities- Digital filing: Keep our digital folders in Google Drive and SharePoint organized and easy to use.
- Filing & archiving: Organize and maintain physical documents, company records, and archives.
- Office support: Take care of day-to-day office needs and make sure invoices reach the right person.
- Confidentiality: Keep sensitive information secure and manage access to confidential documents.
- Administrative support: Help with mail, data entry, scanning, documents, and meeting agendas.
- Improving processes: Look for simple ways to make our administrative and filing processes work better.
RequirementsQualifications & Skills
- Experience: 1–3+ years of experience in administrative support, document control, office coordination, or a similar role.
- Organization: Exceptional organizational skills, both spatial and logical, with a genuine passion for sorting, structure, and efficiency.
- Attention to Detail: You are precise, consistent, and comfortable managing large amounts of information without losing track of the details.
- Discretion: Proven ability to handle highly confidential and sensitive information with absolute discretion.
- Communication: Clear verbal and written communication skills, with the ability to coordinate filing and administrative processes with multiple departments.
- Digital Skills: Comfortable working with cloud-based document management systems and common office software.
- Proactive Mindset: You don't just identify problems, you take initiative to solve them and improve the way things are organized.
