501466 Administrative Coordinator

IronMountain Solutions, Inc. is seeking a highly motivated and organized individual as an Administrative Coordinator. This position is located at the IMS Corporate office in Huntsville, AL. This role is part of a team that requires a demonstrable sense of urgency while working independently. We require proactive support to get things done, but also someone who can suggest and implement ways to improve processes for long-term success. A successful candidate will be customer-service oriented, have strong attention to detail and quality, have great organization skills, and can switch gears at a moment’s notice.
Job Duties:
- Greet visitors, in person or on the telephone, and direct them accordingly
- Organize virtual calls, meeting rooms, and catering in multiple areas
- Answer IMS telephone and direct calls accordingly
- Assist in the maintenance of office supply inventory
- Assist with receipt of goods and relocate to stockroom
- Manage multiple calendars in Outlook
- Maintain conference rooms, supply rooms and copier area
- Route incoming mail/shipments and process outbound mail/shipments
- Must be able to effectively multitask and work independently without constant supervision
- Provide excellent customer support and ability to communicate with all levels of leadership and/or customers
- While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use tools or controls; normal physical activity (reach with hands and arms; climb stairs); and communicate effectively with all levels of employees and leadership. The employee must occasionally lift or move office products and supplies, up to 25 pounds.
Education and General Experience:
A High School diploma and at least three years of administrative experience in an office environment with proficiency with Microsoft Office is required. This position is full-time, performing various administrative functions. Additional working hours or on-call time are possible according to company needs. A successful candidate will possess strong organizational and communication skills, a team-oriented philosophy, and problem-solving skills. Candidates must be able to effectively multitask and work independently without daily guidance and supervision.
