OverviewJob Summary: Malanai LLC is recruiting a Administrative Coordinator to support the Defense Health Agency's (DHA) Vision Center of Excellence (VCE). The Administrative Coordinator will apply skills and experience to support the following (but not limited to) key responsibilities: - Operational Manuals: Update and maintain desk manuals covering daily activities, correspondence, meetings, processes, and procedures.- Records & Files: Maintain office files in the approved collaboration tool; ensure proper labeling, storage, and records management compliance.- Records Management Plan: Review and update the VCE Records Management Plan in accordance with DHA policies.- Training Compliance: Track and collect documentation for required government and contractor training.- Administrative Support: Manage task lists, taskers, data calls, office equipment, recurring meetings, seating charts, supplies, and general administrative needs.- Document & Product Management: Draft, edit, review, and staff documents, presentations, memos, briefings, and other materials; track approvals and maintain the VCE SharePoint library.- Correspondence & Information Flow: Prepare and manage correspondence, briefing packages, and supporting materials while ensuring VCE records-management standards.- Meeting & Task Support: Coordinate meetings, prepare daily correspondence, attend weekly information meetings, and track action items and status.- Facilities & HR Support: Support facilities, supplies, tasker management, and personnel in/out-processing in coordination with DHA J9.
RequirementsRequirements: - 1 to 3 years experience in administrative support functions- Manage calendars as needed for staff- Set up meetings and events as requested and identify meeting participants- Perform records management- Track and manage work tasks- Prepare correspondence - Proficiency in MicroSoft office applications- Exceptional professionalism and strong experience exercising discretion and confidentiality.
EducationWork experience or Bachelor’s degree in related field
Security ClearanceMust be a US Citizen able to obtain a minimum of a Public Trust.
Physical RequirementsWork may involve sitting or standing for extended periods of time. Position may require typing and reading from a computer screen. Must have sufficient mobility, including but not limited to bending, reaching, and kneeling to complete daily duties in a timely and efficient manner. There is a possibility that due to parking availability and location of work, walking moderate to long distance may be required. Possible lifting up to 30 lbs.
