Position Summary Moorings Park is seeking a dedicated Administrative Coordinator to join our team. The Administrative Coordinator serves as a key partner to the Executive Director, residents, and department heads. This role involves addressing residents’ needs, monitoring satisfaction levels, and fostering positive relationships. Additionally, the Administrative Coordinator oversees the move-in process for Independent Living and Assisted Living residents, ensuring a smooth transition into the community.

 

Key Contributions

  • Provides a friendly, pleasant welcome for all who contact/visit the office.
  • Anticipates the needs of the Executive Director in his/her performance of his/her responsibilities, including calendar maintenance and meeting coordination.
  • Prepares correspondence & reports, maintains files, sets appointments/meetings, screens phone calls, greets visitors, sorts & distributes mail. 
  • Manages coordination for all aspects of Partner Recognition Meetings.
  • Oversees the annual Homestead Exemption registration for the campus. 
  • Oversees the maintenance of the neighborhood website, resident directories and resident guides.
  • Prepares new resident packages to deliver and review with all new residents. The package includes at minimum, resident handbook, emergency egress placard, hurricane preparedness guidelines.
  • Coordinates residents move in/out scheduled and provides orientation and final walk-through, including pick up key meeting.
  • Provides residents with basic understanding of the mechanical features and appliances of their apartment and introduces them to the neighborhood website, RESY reservation program, WorxHub, and Informacast.
  • Administers a standardized satisfaction survey with the new residents at the 45-day mark and follow ups after move-in by continuing to orient new residents to the community.
  • Assures that invoices are approved & paid from vendors & professionals.
  • Maintains invoice records to assist in the preparation of the yearly financial plan as it pertains to supplies & capital expenditures for the office. 
  • Coordinates flight & hotel arrangements for business trips & conference registrations. 
  • Coordinates Operations Team meetings to include distribution of agendas, development of meeting materials & presentations, meeting room setup (audio/visual). 
  • Coordinates resident council, campus committee, and resident open forum meetings. 
  • Leads community efforts in elevating satisfaction in all venues as well as establishing improvement processes.
  • Act as a predominant author for all community and corporate wide communication to residents and staff, including memorandum, letters, policies and procedures and handbooks.
  • Maintains Manager on Duty & staff on-call listing. 
  • Provides support & back-up for other administrative positions.


 

Qualifications & Requirements

  • Excellent oral and written communication skills in the English language required.
  • During emergencies or natural disasters, may be required to remain on duty for the duration of the event.
  • Minimum of two years college with General Business/Secretarial courses, or equivalent experience.
  • Must have excellent administrative & communications skills
  • Microsoft Suite & Adobe
