Role: 

Serves as administrative coordinator for the assigned division. Performs a variety of clerical and office duties including clerical work that is confidential in nature. Composes correspondence, corrects grammar, punctuation, and spelling, maintains and updates office supplies, compiles data for reports, answers telephone calls, responds to inquiries and makes appointments for division staff. 


Major Duties and Responsibilities: 

  • Supports the daily operating functions of the assigned divisional departments.   
  • Demonstrates excellent customer service skills in all interactions with the public. 
  • Collects data and formats for presentation purposes. 
  • Assists with compiling and organizing materials for audits and accreditation visits. 
  • Arranges schedules, prepares meeting rooms and provides appropriate materials for division events/meetings. 
  • Prepares and helps run departmental events for students and staff. 
  • Serves as back-up for other administrative support roles on-campus, when needed. 
  • Organizes and maintains departmental files using Office 365, Docuware, and other software tools 
  • Assists with inquiries and student intake for various programs, including degree, certificate and GED/ABE programs. 
  • Composes correspondence, corrects grammar, punctuation, and spelling 
  • Works flexible hours (occasional early mornings or evenings) to support activities as needed. 
  • Prepares various reports and manages special projects, as assigned. 
  • Performs clerical tasks related to confidential files and issues. 
  • Prepares and processes divisional purchase requisitions. 
  • Performs other duties, as assigned
Qualifications

Knowledge and Skills:    

Education                     Associate’s degree or equivalent required. 

Experience                   Three years (3) of directly applicable experience required. 

Interpersonal Skills       Excellent interpersonal skills. 

                                      Demonstrated ability to interact with all service populations ensuring accurate and effective communication. 

Technical Skills             Proficient knowledge of current and emerging computer hardware and software, including relevant ERP systems and excellent                                                   computer skills in all Microsoft Office products and Internet. 

Other Skills                   Excellent oral and written skills. Strong organizational abilities with strong emphasis on prioritizing and meeting deadlines. Exercises                                         sound judgment and maintains confidentiality. Functions well under pressure and stressful situations. Strong ability to multi-task and to                                       coordinate the activities of multiple departments. A willingness to accept additional responsibilities as required to meet divisional goals. 

Physical Requirements    The work is mostly sedentary; however, there may be some walking, standing, bending, carrying of light items, driving an                                                             automobile, etc. No special physical demands are required to perform the work. 

Technical Skills               Working knowledge of current and emerging computer hardware and software, including relevant ERP systems and all Microsoft                                                Office products. 

Work Environment           Regular exposure to favorable conditions such as those found in a normal office.
