This is a part-time, 10-month, on-campus position, working 25 hours per week, generally Monday through Friday. The position is scheduled to be off from May 15 through July 15 each year.

The Administrative Coordinator provides administrative and operational support to the Office of the President and the Office of the Provost/Vice President for Academic Affairs. Reporting to the Director of Planning & Strategy for the President, this position serves as the primary administrative support partner for the Provost while assisting both the Director and the President with executive coordination, scheduling, and other office operations. The Administrative Coordinator helps ensure the efficient operation of the executive suite by coordinating meetings, managing correspondence, supporting daily office operations. This position requires the demonstrated ability to communicate professionally and effectively with university leaders, faculty staff, students, and external partners, while exercising sound judgement, discretion, and confidentiality. The Administrative Coordinator will represent the Office of the President and Provost with professionalism, discretion, and a commitment to excellent service.

Essential Functions of Job:

Administrative Support

  • Serve as the primary administrative support for the Provost/Vice President for Academic Affairs, managing the Provost's calendar, meetings, travel, expense reports, correspondence, and administrative priorities.
  • Assist the President and Director with scheduling, calendar coordination, and other administrative tasks as assigned.
  • Prepare meeting materials, agendas, reports, and correspondence for executive leadership.
  • Maintain confidential information with professionalism and discretion.

Office Operations

  • Serve as the first point of contact for visitors to the President and Provost Suite.
  • Maintain organized office systems, records, schedules, and purchasing processes.
  • Ensure meeting spaces and the executive suite are professional and welcoming.

Project Coordination

  • Support special events, administrative projects, and operational initiatives for the Office of the President and Provost.
  • Coordinate administrative projects and initiatives of varying scope and complexity while tracking timelines, follow-up items, and executive priorities.

Qualifications
  • Associate’s degree required; bachelor’s degree preferred.
  • Exceptional organization, attention to detail, initiative, and sound judgment.
  • Skills to effectively manage multiple priorities in a fast-paced executive environment.
  • Advanced Microsoft Office skills in Word, Excel, PowerPoint, Outlook, Teams and ability to learn new software.

Working Conditions:

  • This position requires flexibility to support occasional meetings or events outside of the regular work scheduled.
  • Requires sitting, standing, bending and reaching.
  • Requires extensive computer usage.
  • Required manual dexterity sufficient to operate standard office machines, and other office and/or clerical equipment.
  • May require occasional physical activity, including lifting up to 30 pounds and assisting with meeting or event setup.
  • Requires normal range of hearing and vision
