Job DescriptionWe are seeking a detail-oriented, process-focused Administrative Coordinator to own and optimize the operational backbone of our Marketing organization. In this role, you will manage five critical operational domains for our Leadership team: business travel, expense management, purchase orders, team onboarding/offboarding, and team logistics.
You will establish clear processes, ensure policy compliance, and maintain the systems that allow five senior leaders and 30+ team members to operate efficiently. You will be measured on operational excellence, compliance accuracy, and process timeliness.
What You'll Do
Travel & Expense Management: Coordinate travel bookings and itineraries for the Marketing team. Process expense reports and reconcile corporate credit cards (P-cards) via Concur, ensuring strict compliance with company policies.
Operations & Vendor Administration: Initiate and track Purchase Orders (POs) through internal workflows and manage vendor contracts. Coordinate onboarding/offboarding logistics, including IT provisioning and systems access (SAP, Workday, Google Workspace).
Logistics & Team Resources: Plan and execute large cross-functional events and offsites. Maintain accurate team documentation, distribution lists, and org charts, while serving as the primary liaison for Facilities, IT, and HR.
Qualifications
Experience & Language: 3+ years in corporate operations, team coordination, or administration supporting multiple stakeholders. Fluent in English.
Process & Systems Thinker: You love building workflows, fixing operational bottlenecks, and working against clear timelines and SLAs.
Independent & Professional: You work well without daily direction, own your responsibilities, and have the confidence to enforce policies and handle data discreetly.
Technical Skills: Proficient with Google Workspace, SAP (procurement), Concur (expenses), Workday (HRIS), and quick to learn new enterprise tools.
