Supports multiple Senior Vice President Regional Manager(s) of 20+ banking offices by performing a variety of administrative duties involving matters that are often complex and confidential in nature. Duties include developing and preparing numerous reports, preparing or approving and submitting requests for Retail systems access and various levels of signing and wire authorities, assisting with the preparation of regional employee salary recommendations, and handling sensitive customer issues and information.
Administrative
- Prepare multiple weekly, monthly, and quarterly reports of regional sales and service activities, and jointly with the Regional Manager, analyze information to identify trends and conduct research for areas needing further information.
- Conduct research as needed to resolve any outstanding sales or service issues.
- Analyze monthly budget reports to ensure branches are within annual requirements. Where issues are identified, present them to senior management for discussion and resolution.
- Bi-Weekly review of eTime Manager
- Ensuring non-exempt employee timecards are approved and signed off by a branch management member by the communicated deadline.
- Confirming employees are authorized to sign off on timecards.
- Maintain complex and detailed calendars.
- Responsible for the coordination and logistics of both internal and external meetings
- Organize all aspects of offsite conferences and external events, including catering.
- Expense Management – Processing invoices and expense claims for team members. Prepares monthly expense report for manager. Ensure all policies are followed and items are processed within guidelines. Subject matter experts for policies and procedures
- Produce high quality emails and messages to individuals at all levels of the organization.
- Handle regular activities without prompting in advance without issues or delays.
- Assist in editing spreadsheets and presentations including printing and binding for client meetings.
- Work cooperatively with administrative assistants’ team, in positive partnership to back up each other smoothly.
- Lead and coordinate in adhoc projects as requested.
Prepare and submit all Regional Human Resource/Technology paperwork related to newly hired, promoted, or transferred Retail employees, and assist in the preparation of regional employee salary recommendations.
- Determine the appropriate level of authority based on position.
- Prepare and submit all required Human Resource documentation.
- Prepare and submit all required technology, wire, and signing authority documentation to appropriate parties.
- Maintain regional staffing database.
- Communicate any staffing changes to the appropriate divisions / interested parties.
- Conduct an extensive annual systems User Rights Review for all regional employees.
- Prepare work schedules for all regional floating staff.
- Assist regional manager in the completion of confidential salary recommendation worksheets during annual review cycles as necessary.
- Act as a first line of contact for significantly complex customer issues that could not be resolved at the branch level.
- Research and prepare responses on behalf of the Regional Manager for all regional customer issues that reach the Office of the President, both written and verbal, within 24 hours of receipt.
Problem Solving & Decision Making:
- Incumbent has the authority to use discretion in some circumstances, but if/when written policy is unclear or there is any uncertainty, the regional assistant should seek guidance from his/her Regional Manager or Retail Administration.
Education and Experience
- Associates Degree or and 2 – 3 years of related job experience or equivalent combination of training and experience is required.
- To perform this job successfully, the incumbent must have strong customer service and interpersonal skills and be proficient in both written and verbal communications. This position requires a self-starter with strong organizational skills who is technologically proficient, particularly with MS Word, Excel, and Access.
