We are seeking a highly organized, customer-focused Administrative Coordinator, Volunteer Resources to support our volunteer programs and help connect compassionate volunteers with patients and families receiving care. Position SummaryThe Administrative Coordinator provides essential administrative and clerical support for the Volunteer Resources Department. This role plays a key part in recruiting, onboarding, coordinating, and supporting volunteers who serve patients and families in homes, community facilities, and Andwell's Hospice House.
The ideal candidate is detail-oriented, organized, comfortable managing multiple priorities, and passionate about supporting volunteer engagement and community service.
What You'll DoVolunteer Program Administration- Answer and direct incoming calls for Volunteer Resources.
- Process volunteer applications, onboarding paperwork, and volunteer-patient matching documentation.
- Maintain volunteer records and databases.
- Run reports and track annual volunteer requirements and compliance documentation.
- Organize administrative support for volunteer programs, including:
- Tuck-In Program
- Dinners with Love
- Veteran-to-Veteran Program
- Bereavement and Hospice Volunteer Programs
- Schedule volunteer trainings and orientations.
- Reserve meeting rooms and coordinate training logistics.
- Prepare and maintain training materials.
- Communicate with volunteers regarding upcoming trainings and requirements.
- Assist with volunteer placement and matching activities.
- Support planning and execution of volunteer appreciation and recognition events, including:
- Annual Volunteer Recognition Event
- National Volunteer Week activities
- Holiday celebrations
- Additional volunteer engagement events
- Coordinate office volunteer assignments and support other departments with volunteer placement needs.
- Provide information and assistance to volunteers, staff, and members of the public.
- Maintain a professional, welcoming, and service-oriented environment.
- Perform other administrative duties as assigned.
- High school diploma or equivalent.
- 3-5 years of administrative, office coordination, customer service, or program support experience.
- Strong written and verbal communication skills.
- Experience answering multi-line phones and interacting with the public.
- Experience with Microsoft Office, including Word, Excel, Outlook, and databases.
- Exceptional organizational and multitasking skills.
- Ability to maintain confidentiality and professionalism.
- Associate degree or higher.
- Experience supporting volunteer programs, nonprofit organizations, healthcare, hospice, or community service programs.
- Experience coordinating meetings, events, or trainings.
- Strong customer service mindset.
- Excellent attention to detail and follow-through.
- Ability to prioritize competing deadlines.
- Sound judgment and problem-solving skills.
- Ability to work independently while also being a collaborative team player.
- Proficiency with Microsoft Office Suite and virtual meeting platforms.
- Ability to build positive relationships with volunteers, employees, patients, and community members.
- Ability to sit and work at a computer for extended periods.
- Ability to lift up to 25 pounds.
- Occasional standing, walking, kneeling, squatting, and stair climbing.
- Fine motor skills required for computer and office equipment use.
