Summary:
The Executive Administrative Assistant enhances the effectiveness of the Chief Executive Officer (CEO) and the Miller Executive Leadership Team (MELT) by providing both strategic and administrative support that drives business results. This role serves as a trusted, confidential representative of Miller Manufacturing Company (MMC) and is responsible for executive support, strategic project coordination, policy administration, SharePoint governance, corporate office administration, internal communications, and company-sponsored events.
Approximately 50% of this role is strategic in nature and requires proactive ownership, anticipation of executive and organizational needs, independent problem solving, project leadership, strong business judgment, and executive-level communication. The successful candidate identifies priorities, drives initiatives forward, and develops systems that improve organizational effectiveness without waiting for direction. Through these efforts, the position helps foster a People First culture rooted in MMC's 26 Fundamentals.
Shift: Days; Core Office Hours 8:00am - 4:30pm
Wage Range: $70,000 - $100,000
Base pay is based on several factors which vary based on position, including skills, ability and knowledge the selected individual is bringing to the specific job. Please note that we do not typically hire at the top of our range.
Essential Functions: To perform this job successfully, an individual must be able to perform each essential duty listed below satisfactorily.
- Executive Support for CEO and MELT: To enhance executive alignment, accountability, and business plan execution, this role serves as a trusted strategic and administrative partner to the CEO and Miller Executive Leadership Team (MELT).
- Responsibilities include facilitating executive meetings, delivering KPI reporting, preparing concise meeting recaps with action items and due dates, serving as a confidential resource to leadership, and supporting strategic initiatives and special projects. This role develops and owns an executive follow-up system that ensures visibility, accountability, and timely execution of commitments without requiring CEO prompting.
- Policy Management: To ensure Miller Manufacturing's policies, procedures, and core processes remain current, compliant, accessible, and consistently applied, this role leads policy administration in partnership with department leadership.
- Responsibilities include maintaining a structured policy review process with defined owners, deadlines, follow-up cadence, and accountability; facilitating policy approvals and annual reviews; training policy owners; and supporting the documentation and communication of policies, procedures, and core processes through SharePoint and My90.
- SharePoint Management: To provide employees with secure, organized, and efficient access to company information, policies, procedures, and business resources, this role develops, maintains, and continuously improves the company’s SharePoint intranet.
- Responsibilities include managing site organization, permissions, training, user adoption, content accessibility, and continuous improvement to ensure SharePoint remains a trusted source of company knowledge and communication.
- Legal Support: To protect Miller Manufacturing’s legal interests and maintain secure, accessible business records, this role coordinates administrative support for legal, contractual, and compliance-related activities.
- Responsibilities include organizing legal documents, supporting document retention and governance requirements, coordinating with outside counsel, and assisting with the preparation, review, execution, and maintenance of contracts and other legal records.
- Strategic Communications Support: To ensure clear, timely, and aligned communication that supports business plan execution, employee engagement, and informed decision-making, this role develops, coordinates, and distributes executive communications on behalf of the CEO and MELT.
- Responsibilities include preparing audience-appropriate communications, supporting business planning and reporting processes, leveraging AI tools to improve communication effectiveness, and preparing briefing materials, meeting summaries, and correspondence that reflect organizational priorities and the CEO’s voice.
- Administrative Support: To ensure efficient executive operations and timely execution of business priorities, this role administers and systemizes key support functions for the CEO and MELT.
- Responsibilities include developing reliable systems for follow-up, scheduling, travel, contract administration, recurring deadlines, onboarding support, executive records management, and confidential document control. This role proactively identifies opportunities to improve efficiency, reduce administrative burden, and support organizational effectiveness.
- Office Management: To ensure a safe, organized, professional, and productive work environment that supports employee engagement and business operations, this role manages the day-to-day administrative and logistical functions of the Eagan office.
- Responsibilities include maintaining office readiness standards; coordinating facilities, service providers, and workplace improvements; supporting new employee onboarding; managing office inventory and visitor hospitality; supporting employee recognition and engagement activities; and ensuring timely resolution of office-related issues.

- Bachelor’s degree preferred; equivalent experience considered.
- Superior writing and proofreading skills required. Uses AI as a thought partner.
- Demonstrated high proficiency with all programs in Microsoft Office 365 Suite including, Teams, SharePoint, Outlook, Word, Excel, PowerPoint and AI-enabled productivity tools
- Proven executive support experience
- Familiarity with manufacturing businesses processes including EOS/Traction preferred
- Experience managing legal files and reviewing/processing legal documents properly
