Position Objective:

The Administrative Associate, Operations will provide administrative support for the Senior Director, Operations, Human Resources and the Austin Operations team.


Responsibilities:

  • Essential Functions:
    • Assist with preparing a variety of Operations Management reports.
    • Assist with processing timesheets and time reporting, tracking cross-training hours, and data entry of premiums/call pay.
    • Manage administrative functions associated with Employee Recognition programs.
    • Assist in budgeting, coding of invoices, purchase requisitions, and expensing in Concur.
    • Track and approve general operations invoices/expenses, including safety shoes, loupes, uniforms/shoes, etc.
    • Assist with tracking/facilitating ECN progression.
    • Provide administrative support for facilities with data entry of P.M.’s
    • Manage site mailroom and document destruction.
    • Perform clerical updates or basic revisions to SOPs.
    • Assist with Site Safety Program and Disaster Recovery Plan.
    • Schedule, organize, and create meeting minutes for in-house & off-site meetings.
    • Assist with electronic and manual filing.
    • Facilitate and order catering for site events/orientations.
    • Create and process office supply orders.
    • Handle other special projects for Operations/Human Resources and the company, as needed.

Other responsibilities as assigned.

 

Qualifications:

  • Minimum 2 years’ experience as an Administrative Assistant or equivalent
  • High School diploma or equivalent, some college preferred
  • Excellent organizational skills and managing multiple tasks
  • Excellent communication and interpersonal relationship skills
  • Advanced computer skills – including Microsoft Office, internet, and email

Physical Requirements:

  • Ability to sit or stand for extended periods of time
  • Ability to lift or bend forward with a load of up to 25 lbs
