Job Description
General Summary:
The Administrative Assistant provides office/business support to department and generally reports directly to a(n) Associate Director, Director or Senior Director-level manager.
Key Duties and Responsibilities:
- Schedules meetings, secures conference rooms and orders catering for assigned personnel
- Serves as a departmental resource for Vertex's internal technologies (i.e; Procurement, SharePoint, Concur, Vertex U, VLearn, etc.)
- Assists with booking flights/hotels and completing expense reports for assigned personnel
- Based on established departmental procedures, prioritizes and addresses requests for appointments, e-mails and telephone calls; handles routine and straightforward requests and routes advanced items to more senior personnel
- Processes group purchase orders, invoices, and contracts
- Assists with visitor registration, including pre-registering and escorting visitors
- Assists with onboarding of new employees into assigned department
Knowledge and Skills:
- Basic knowledge of Microsoft Office products
- Good time management and organizational skills to prioritize work and/or multi-task
- Attention to detail
Education and Experience:
- Proven experience in a similar role required or equivalent combined education.
