The Opportunity
Our Corporate Communications & Marketing group is looking to add an experienced Administrative Associate to join a high-performing team of #EnergyProblemSolvers and support our Vice-President of Communications.
Reporting to the VP Communications, this position will support the VP with administrative tasks as well as be the subject matter expert for the group on company policies, procedures and processes and requires professional judgment and discretion in handling confidential information, as well as flexibility in adapting to a dynamic environment. We’re seeking a candidate who embraces change, thrives in a team environment, and is quick to form strong collaborative relationships.
What you will do
- Provide comprehensive administrative support to the Vice-President of Communications (including calendar management, timesheet and expense reporting, and coordinating travel arrangements)
- Organize and coordinate effective meetings including agenda setting, managing logistics and bookings and taking meeting minutes
- Facilitate quarterly department Town Halls, including proactive agenda setting, liaising with participants, and collecting and actioning feedback
- Develop weekly reports to the Vice-President Communications to inform priority setting and decision making
- Assist with departmental budget preparation and monitoring, ensuring timely budget entries in the Business Planning and Consolidation (BPC) system
- Process invoices and follow-up with internal partners to ensure payment is processed & received, set up vendors, request Purchase Orders and update team budget tracker
- Oversee the onboarding and offboarding process for new and departing team members
- Troubleshoot administrative issues for the team and independently develop solutions through cross-functional collaboration with other departments
- Provide ad-hoc administrative assistance to the Vice-President, Communication and other Communications leaders
- Plan and coordinate engaging team building activities for team members in locations across Canada, the U.S. and Mexico, including volunteer events through our Employee Giving and Volunteer program
Minimum Qualifications
- High school graduation
- 6 years of related administrative support experience
- Expert level proficiency with Microsoft Office 365 (Word, Excel, PowerPoint, Teams)
- 4 years of demonstrated experience supporting a senior leader
Preferred Qualifications
- Post-Secondary certification in administration
- Proven experience in the energy industry
- Experience with Workday and SAP
